Running a Report

To run an existing [Dynamic

Report](/help/pro/dynamic/reports), [search

for the report](/help/pro/dynamic/reports/-/searching/for/dynamic/reports) first. When the Dynamic Report List displays, do one

of the following:

-

Click the name of the report.

-

Tag the report and then select Menu > Run

Report.

-

Tag the report and then click the Run Report button on the [Custom

Button Bar](/help/pro/navigation/-/custom/button/bar).

If the Specify filter at run-time

option was selected when the [Dynamic

Report was set up](/help/pro/dynamic/report/setup/dialog/box), a dialog box opens to enable the user to change

the report's filter criteria.

The user can click the hyperlinks in the filter criteria list to enter

new values for those filter criteria. (The new filter criteria apply only

to this instance of the report; they are not permanent changes to the

report setup). Click the OK button

to run the report using the specified criteria.

Note: Frequently run Dynamic

Reports can be added to the SmartOffice home page so that they automatically

run and display results when the user signs in to SmartOffice. See [Adding

a Report to the Home Page](/help/pro/dynamic/reports/-/adding/a/report/to/the/home/page).

Tip: Users who want to work

with Dynamic Reports results in Microsoft Excel can[

run reports directly from within Excel](https://help.smartofficecrm.com/msplugin/help/en/index.htm#running_dynamic_reports.htm) using the Microsoft Plug-in

for SmartOffice.

Canceling a Report

If a user mistakenly runs the wrong Dynamic Report, or if the report

is taking longer than expected, click the Cancel

button that displays while the report is being processed.

Processing will stop, enabling the user to select a different report

or perform other tasks in SmartOffice.

Working with Report Results

The results of a Dynamic Report display as a standard SmartOffice list,

which means the user can use [column

filtering](/help/pro/lists/-/column/filtering), list layout customization,

and other list features to change how the results are displayed (for more

information, see Lists).

The user can also adjust report options, save the report for future

use and print or export results, as described in the following sections.

Adjusting Report Options

Using the Report Options bar across the top of the report results list,

the user can quickly change basic options that specify what data is displayed

and how it is displayed.

Note: If these options are

hidden, click the arrow next to the Report Options heading to display

them.

After making changes, click the Refresh

button to display the new results.

For more in-depth options, click one of the following hyperlinks:

-

Open

Report Filter: This hyperlink takes the user directly to the

Details/Add Filter section of [Dynamic

Report Setup](/help/pro/dynamic/report/setup/dialog/box). (This hyperlink is not available when viewing the

results of a [quick

report](/help/pro/dynamic/reports/-/creating/a/dynamic/report).) After making changes to the filter, click the Finish

button to refresh the report results.

-

Advanced

Options: This hyperlink opens [Dynamic

Report Setup](/help/pro/dynamic/report/setup/dialog/box). After making changes to the report setup, click

the Finish button to refresh

the report results.

-

Runtime

Filter: This hyperlink appears only if the report is set up

to prompt the user to specify filter parameters when run. Click the

hyperlink to open the Report Filter Criteria dialog box and make any

changes to the filter (the new filter criteria apply only to this

instance of the report; they are not permanent changes to the report

setup). Click the OK button

to refresh the report.

Saving the Report

To save the report and its current settings for future use, click the

Save Report as hyperlink and enter

a name and description for the report. The report can then be run as described

in [Running

a Report](/help/pro/dynamic/reports/-/running/a/dynamic/report#Running_a_Report).

Printing or Exporting Report Results

See Printing or Exporting a List.

Note: A Dynamic Report can

be linked to an Excel template so that report data can be opened automatically

in Excel. See Analytic

(Excel) Reports/reports/-/introduction)

SmartOffice tracks information about which users in the office ran a

report and when. With this information, SmartOffice administrators make

decisions about which reports should be maintained, modified or deleted.

To see a history of the users who have run a particular Dynamic Report,

along with information such as filters used:

-

[Perform

a Dynamic Report search](/help/pro/dynamic/reports/-/searching/for/dynamic/reports).

-

From the Dynamic Reports List, tag

one or more reports.

-

Select Menu

> Dynamic Report Usage Statistics.

-

To limit the amount of historical data

displayed, enter a date range and/or enter a particular user's name

in the Run By field.

-

Click the Search

button.

A list displaying the report's usage history

opens. The columns can be customized (see [List

Layout Customization](/help/pro/list/layout/customization)). Notable columns include:

-
