PDF reports can be run

from the specific SmartOffice module that they relate to (e.g., SmartPolicies,

SmartInvestments) or

from the [contacts

module](/help/pro/contacts/and/businesses/-/introduction). For example, reports in the Account Master category can be

run from either an investment account record or a contact record.

Most PDF reports can be run from the contacts module. However, some

reports are available only from the modules they relate to.





Tip: Multiple reports can be grouped

and run as a package. For more information, see [Report

Packages](/help/pro/pdf/reports/-/report/packages).





To run a PDF report:

Select one or more records (e.g., contacts, policies, investment

accounts) in a list, or open a record.

Select Menu > Reports > Run

Reports (PDF) to open the Select

a Report to Run dialog box.

(Optional) To narrow down the list of reports, select a category

from the Report Category drop-down

list. SmartOffice will list only the reports in that category, with

the most frequently used reports at the top.

Click a report's name to run it. If a report options dialog

box opens:






Review the options to ensure that the report layout and

content is acceptable ([learn

more about report options](/help/pro/pdf/reports/-/report/options)).

Make any necessary changes.

(Optional) Click the Save Settings

button to save a copy of the report with the selected options

(see the tip below for more information).

Click the OK button.







Tip: Any changes made to the default

report options are discarded after the report is generated unless

the user selects the Save Settings

option in the report options dialog box. Selecting that option

saves a copy of the report with those customized options for future

use, and the customized report will be available from the Select a Report to Run dialog

box.




Note that, if the user saved settings for a report previously,

that saved version of the report will be overwritten with the

new saved version.




When the user saves report options, it is also recommended that

the user edit the Keywords field to distinguish the customized

report from the system default report. The text in that field

displays in the right column of the Select

a Report to Run dialog box.







Once the report is generated, it opens in a new window.





Use the buttons across the top of the report to print it, save it or send

it by e-mail. Many SmartOffice users like to save generated PDF reports

to the [Letters/Documents

content link](/help/pro/contacts/and/businesses/-/letters/documents/content/link) of the relevant contact record for future reference.

This can be done in one of two ways:

Save reports to the local computer,

and then [manually post the reports from Windows

to the contact's record](https://help.smartofficecrm.com/msplugin/help/en/index.htm#adding_and_deleting_documents.htm).

Let SmartOffice post saved reports

automatically using the Folder Watch utility.
