For current system requirements, see System Requirements. Note the following changes since the last release:
- End of support for Internet Explorer 11: SmartOffice no longer supports the Internet Explorer 11 web browser. Microsoft ended support for Internet Explorer 11 on June 15, 2022. SmartOffice is compatible with the latest versions of Google Chrome, Mozilla Firefox and Microsoft Edge. If you have any questions or concerns, please contact SmartOffice Technical Support.
- End of support for Windows 8.1: Due to Microsoft's end of support for Windows 8.1 on January 10, 2023, SmartOffice no longer supports that version of Windows. Users of Windows 8.1 are encouraged to upgrade to a newer release.
- End of support for Office 2013: Due to Microsoft's end of support for Office 2013 on April 11, 2023, SmartOffice no longer supports that version of Office. Users of Office 2013 are encouraged to upgrade to a newer release.
Note Regarding Text Changes in SmartOffice
This release may contain minor changes to text in dialog boxes and other areas of the SmartOffice user interface. Changes of this type are typically made to correct spelling, grammar, punctuation and other language-related issues. Such changes normally are not listed in this document unless they affect the way the application works.

Featured Enhancements
Correspondence with Outlook 365 Web App
SmartOffice can now be configured to open the Outlook 365 web app when the user selects the Launch E-mail command (from the Correspondence menu or the Correspondence Wizard) or when the user clicks a hyperlinked e-mail address. In User Preferences > Correspondence Options, go to the new Launch E-mail section and select the Open Outlook 365 web app option.
Once the new preference is saved, selecting Launch E-mail opens a new message in Outlook 365 with the To field prefilled. This feature requires a Microsoft 365 subscription but does not require the SmartOffice for Microsoft 365 add-in. (PMG-926854)
Option to Not Save Attachments to SmartOffice
To help save storage space, administrators can now set up SmartOffice so that the system does not save e-mail attachments from outgoing e-mail messages. Go to Setup > Office Settings > Office Correspondence Options and select the new Do not store attachments from outgoing e-mails in SmartOffice option under E-mail Attachment Options.

Saved Side Menu State
When a user minimizes or restores the side menu, SmartOffice Pro now remembers the menu's state when the user signs out and displays it the same way upon the next sign-in. For more information about minimizing the side menu, see Navigation - Side Menu. (PMG-920890)
Default Types for New Phone and Address Records
Users can now define the default types for addresses and phone numbers added to contacts. In User Preferences > Basic Info, select the preferred types from the new Default Phone Type and Default Address Type drop-down lists under Default Settings.
When no option is selected, the default type is Business, as it was previously. (PMG-900187)
View More Choice Applies to Subsequent List Pages
By default, selecting View More at the bottom of a list displays up to 1,500 records, but when a user navigates to subsequent pages of the list, the system reverts to displaying 50 records per page. With this enhancement, the administrator can configure the office to keep displaying up to 1,500 records on subsequent list pages. Go to Setup > Office Settings and turn on the option labeled Automatically display 1,500 records per page in a list after the user selects View More. Note that enabling this option may slow down system performance.

Ability to Add Space Between Fields in Page Layouts
To provide additional flexibility for organizing fields in custom page layouts, SmartOffice now allows users to insert horizontal space between fields. The new Add Line Space item is located under the list of available fields.
Drag the Add Line Space item into any portlet above or below a field. The words “Line Space” appear in the layout to show where the space has been inserted.
Reposition the space by dragging it to a new location, or remove it by selecting its x button. (PMG-913088)

General
- Count of records tagged in a list: A new Records Tagged count at the bottom of SmartOffice lists indicates the number of records the user currently has checked.

- Pagination of list portlets: To improve loading times for custom page layouts containing list portlets, such as Dynamic Report and note portlets, the system now displays a maximum initial number of records in these portlets (typically 50, though the number varies). To enable users to view additional records, these portlets now feature list navigation controls, including a page number drop-down list and Previous, Next and View More hyperlinks similar to those found on regular SmartOffice lists.

- Confirmation for clearing record alerts: To help prevent the accidental clearing of record alerts, SmartOffice now displays a confirmation message when a user selects the Clear button on an alert. (PMG-907067)
- Longer user names: The maximum allowed length of SmartOffice user names was increased to 256 characters. The previous maximum was 20. (PMG-910462)
- New maximum length for user account e-mail addresses: The maximum length of the e-mail address associated with a SmartOffice user account was increased to 256 characters. (PMG-915512)
- Additional columns for user list: To obtain more information about user accounts, administrators can now add columns from the Modified By table to the user accounts list (Setup > User Accounts). For example, the newly available Modified By column shows the last user who modified the account. (PMG-921978)
- Option to hide password reset command: Enterprise customers who provide SmartOffice access to their users through single sign-on can now configure their servers to hide the Menu > Reset Password command from users. In the server config.xml file, set the value of
to true or false. (PMG-922247)
- Relabeled user rights for Office add-ins: The user rights that determine whether a user can access SmartOffice data and features from within Microsoft applications have been relabeled. On the User Rights content link of a user account, the section that used to be labeled MS Outlook Plug-In is now Microsoft Add-Ins. In addition, there are now two user rights: Outlook (formerly labeled SmartOffice Access in Outlook) and Excel.

- Super User option in user rights templates: A Super User check box was added to the User Rights Templates dialog box, making it easier for administrators to apply this powerful right along with other user rights when creating user accounts.

- Help buttons: To make help information easier for users to access, key areas of SmartOffice now display a help button that users can select to go directly to the relevant help topic. Areas of the system that currently feature this button include the home page/dashboards, activity detail and activity outcome dialog boxes, and the user rights and licenses page.

- Higher character limit for file descriptions: The maximum length of the Description field for files posted to SmartOffice was increased to 256 characters from the previous limit of 75. (PMG-929974)
Contact Management
- Contact greeting in information card: The information card, which appears when users point to a contact name in lists and other areas of SmartOffice, was enhanced to display the contact's greeting name in parentheses.

- Custom data columns for household reports: Users can now add columns displaying contact and business custom field data to Household-category Dynamic Reports. In addition, users can add columns displaying household custom field data to Household Members-category reports. (PMG-906703)
- Enhanced phone number search: The phone number portion of the advanced search for contacts was improved. When the user enters a partial number in the Phone # field, SmartOffice now looks for that string of digits anywhere in the phone number. Previously, the system looked only for phone numbers that started with those digits. (PMG-910455)
- Ability to customize Gender drop-down list: In contact, advisor, and other records containing the Gender field, the options available in the Gender drop-down list can now be customized. Users with the appropriate rights can select the Customize Choice button in the drop-down to specify the choices that users can see. In addition, two new system choices are now available: Binary and Transgender. (PMG-910189, PMG-916777)
- Automatic household address updates: When a contact is a head of household, adding an address to the contact and marking it as the preferred address now updates the household's address automatically. (PMG-911774)
- New preferred communication option: (Enterprise customers only) Administrators can now configure their SmartOffice servers to display Phone as an additional preferred communication option in the following areas of the system:
- New - Contact dialog box
- Contact Add'l Personal content link
- New - Business dialog box
- Business Add'l Detail content link
To enable this option, set the value of the
- Ability to show/hide KYC content links: User accounts can now be configured to either show or hide the KYC content links in contact, business and investment account records. A new KYC View license controls whether a user has access to these components of SmartOffice's Know Your Client (KYC) feature. The new license will be enabled automatically for users in offices in which KYC templates are currently applied.

- Improved control of contact liability access: Administrators can now specify whether users can see the Liabilities tabs for contact, business and household records. The existing Show Liability Screens user license has been enhanced to control the visibility of those tabs. (PMG-930759)
Correspondence
- Bcc column in E-mail Queue: A new Bcc column is available in the E-mail Queue message list to display all blind-copied recipients of outgoing e-mail messages, including e-mailed Dynamic Reports. Users with the appropriate rights can customize the layout of the E-mail Queue list to add the column. (PMG-889474)
Dynamic Reports
- Custom data columns for household reports: Users can now add columns displaying contact and business custom field data to Household-category Dynamic Reports. In addition, users can add columns displaying household custom field data to Household Members-category reports. (PMG-906703)
- Enhanced report usage statistics: When viewing the usage statistics for Dynamic Reports (Menu > Dynamic Report Usage Statistics), users with the appropriate rights can now add the following new columns to the statistics list:
- Record Count: The number of records that the report returned.
- Run Time (ms): The amount of time in milliseconds that the report took to return results.
- From Homepage: Whether the report was run from a home page tab.

Resolved Issues
General
- After using the Menu > Page Layouts command to open the Custom Template Detail dialog box, users who tried to apply a template from the List content link were unable to do so. This issue was resolved. (PMG-914739)
- The system was using the plug-in method for opening files, even when the user's preferences were configured for browser-based file opening. This issue was resolved. (PMG-914944, PMG-915013)
- Two spelling checker issues affecting the contact Remarks field were resolved:
- In some instances, the spelling checker was not identifying misspelled words in the Remarks field after identifying and correcting the first word.
- When the Remarks field was maximized and the spelling checker was run, any corrections made to misspelled words were not appearing once the Remarks field was minimized.

- An issue that was causing record alerts to not display properly was resolved. (PMG-916515)
- An issue that occurred when users reset a forgotten password was resolved. After providing the security answer and creating a new password, these users were seeing a blank page when they signed in to SmartOffice. (PMG-918315)
- An error that users were encountering when they tried to open documents was resolved. (PMG-918867)
- An issue that was preventing users from deleting call scripts was resolved. (PMG-919027)
- A license expiration message that some users were encountering when they tried to sign in to SmartOffice was resolved. (PMG-920126)
- An outdated copyright year displayed on SmartOffice Pro pages was updated. (PMG-921110)
- Users were encountering a sign-in error when the PCM Reports option was selected in the Default location at sign-in (SOPRO) drop-down list under User Preferences > Basic Info. This issue was resolved. (PMG-921282)
- An issue that was allowing users to access disabled SmartOffice offices through single sign-on (SSO) was resolved. (PMG-921406)
- When using browser-based file posting, users who specified keywords for files they posted using drag and drop were finding that the keywords were not being saved. This issue was resolved. (PMG-922224)
- In some instances, dragging the edge of a list column heading to change its width was not causing the data in that column to move accordingly. This was causing column headings and data to be out of alignment. This issue was resolved. (PMG-925742)
- Printing a list using the Print Record Details option was causing records to appear cropped in the printout. This issue was resolved. (PMG-926275)
- For users who have two-step authentication enabled, an issue that was causing sign-in codes to be delayed or to not arrive at all was resolved. (PMG-927139)
- Users who have spaces in their user names were unable to sign in to the system. This issue was resolved. (PMG-930344)
- Several improperly named columns that started with the characters "ssHead" were corrected to display proper names. (PMG-931757)
Contact Management
- An issue was occurring when a contact's Sub-Type field contained a manually entered value that was not one of the Sub-Type drop-down list choices. When a user performed an advanced search using that sub-type value as one of the search criteria and with the Both contacts and businesses (all types) option selected, the contact was not appearing in the search results. This issue was also affecting business records in a similar way. (PMG-732815)
- Two issues with managing calculated columns in the List Layout Customization dialog box were resolved:
- The system was not allowing users to assign attributes such as Average, Total, Subtotal, Maximum and Minimum to the columns.
- In some instances, the table designation for the columns was missing.

- Two issues with exporting contacts to another office were resolved:
- When a carrier with a primary contact was exported along with other contact data, the carrier record in the target office showed the primary contact, but clicking the contact's name was producing a "Your action cannot be completed" error.
- When riders were exported along with other contact data, rider options were not being included.

- When the business Detail content link was customized to add a group policy Dynamic Report portlet, the report was not showing any records. This issue was resolved. (PMG-901298)
- An issue with the New (Comprehensive) command for creating a business record was resolved. Users who chose to add an opportunity during this workflow were able to select an opportunity process and marketing campaign, but the drop-down list for selecting the current opportunity stage was not working. (PMG-910340)
- When a user had the Display Letter Log and Document List together option enabled in User Preferences > Correspondence Options, files that the user uploaded to the investment account Letters/Documents content link were not appearing, even after the user refreshed the page. This issue was resolved. (PMG-911925)
- When a custom page layout was applied to the contact Detail content link, some users who tried to send correspondence from that content link were seeing duplicate Correspondence Wizard dialog boxes. This issue was resolved. (PMG-913305)
- On the contact Key Relations content link, the option to modify the layout of the Referred Contacts list was missing. This option was restored. (PMG-913596)
- An issue with editing the page layout of the contact Add'l Detail content link was resolved. Users who changed the position of the Do Not Market check box in the Communication Privacy portlet were finding that the check box was changing to a drop-down list when they saved and applied the layout. (PMG-914932)
- The prompt to accept contacts exported from another office was not appearing for Google Chrome and Microsoft Edge users. This issue was resolved. (PMG-916001)
- An issue with creating contacts in offices using office security was resolved. The issue occurred when the Assign new contacts to the users who create them option was not enabled in Setup > Office Settings > SmartPad/New Contact/E-Mail Posting, During contact creation, when the system displayed a list of users who could be assigned to the contact, closing the list without selecting a user was resulting in the new contact having no user assignment. Now, if the user list is closed, SmartOffice automatically assigns the signed-in user to the contact. (PMG-917540)
- In contact lists and records, several issues that were preventing users from accessing the Menu > Advanced Options > Start the Timer command were resolved. (PMG-917792)
- In the New - Contact dialog box, users who specified a letter template in the Send Letter field were being prompted twice to confirm the sending of the letter when they saved the new contact. This issue was resolved. (PMG-921940)
- An issue affecting business records containing multiple business key relations was resolved. When a user navigated to the business Key Relations content link, selected multiple business key relations under Business Hierarchy, and then tried to create a business key relation, SmartOffice was displaying the Business Key Relationship Details dialog box twice. (PMG-922211)
- Users who tried to mass assign a large number of contacts to a different primary advisor were encountering long delays before the assignment process completed. This issue was resolved. (PMG-923075)
- In custom contact page layouts, adding a custom field to the Preferred Communication portlet was preventing users from updating the selected option in that portlet. This issue was resolved. (PMG-923243)
- In offices with office security enabled, the system was unexpectedly assigning users to the contacts they created in these instances:
- When automatic user assignment for new contacts was disabled in Office Settings > SmartPad/New Contact/E-mail Posting.
- When the user opted not to assign a user to the contact during the contact creation workflow, e.g., by dismissing the prompt to assign a user.
This issue was resolved. (PMG-923457)
- When selecting the Menu > Business Hierarchy command for two or more business records at a time, users were being presented with duplicate business hierarchy dialog boxes. This issue was resolved. (PMG-923732)
- In office hierarchies, parent-office users who signed in to child offices were unable to add photos to child-office contact records. This issue was resolved. (PMG-924291)
- An issue was occurring when a contact record with associated policies was linked to a household and was later merged into another contact record that had no holdings. When the household was validated, its value was different after the merge. This issue was resolved. (PMG-924835)
- When the SmartPad Notes portlet was added to a custom household page layout, users were finding that any notes they created in the portlet were not being saved. This issue was resolved. (PMG-926293)
- Users with Enterprise View turned on were unable to search for business records by abbreviation. This issue was resolved. (PMG-930875)
- On the contact Personal content link, an issue was occurring when a user selected the Company hyperlink, clicked the New button, entered a name in the Business Name field, and then selected the Search for existing business record button. In the list of matching businesses, when the user viewed a business's details and then selected the OK button, the name of the business was disappearing from the list. This issue was resolved. (PMG-931725)
Correspondence
- On the contact Letters/Documents content link, changing the category of a letter in the Letter Log was causing an issue. When the user navigated to the tab corresponding to the new category, the letter was not appearing in the list. This issue was resolved. (PMG-907993)
- In the contact Letter Log, users who tried to open an entry containing a comma in its name were encountering an error. This issue was resolved. (PMG-916912)
- An issue that was preventing offices from sending outgoing e-mail from SmartOffice through the Microsoft 365 SMTP server was resolved. (PMG-918136)
- Two issues with correspondence and documents were resolved:
- In the Method step of the Correspondence Wizard, selecting the Launch Word option was not opening the user's word processor when selected.
- In the contact Document List, when a user linked to a locally stored file using the Link to File Location command, the user was unable to open the file by selecting the icon in the Open column. A blank page was opening instead.

- An issue with sending correspondence from a list of Dynamic Report results was resolved. During the correspondence workflow, when the user specified a follow-up activity and selected the Track Activity Outcome option, the resulting calendar activity did not have outcome tracking enabled. (PMG-919807)
- Selecting a large number of contacts and then selecting the Launch E-mail command was not opening a new Outlook message window. This issue was resolved. (PMG-923953)
- When a user ran correspondence from a household list using a template containing the HHSalutation merge code, the correspondence preview was showing incorrect salutations. This issue was resolved. (PMG-930792)
Data Import/Export
- When a user exported a list, the window that normally tells the user that the export file is being created and that the file is ready to download was not displaying those messages in some instances. This issue was resolved. (PMG-929139)
- Two issues were occurring after large list exports of Dynamic Report results were sent to the Job Queue for processing:
- When SmartOffice refreshed the report results, the Modified By column was updating to display the signed-in user's user name, and the Modified On column was updating to display the current date for the first 52 records.
- The system was posting an entry to each contact's SmartPad noting the date and time of the list export.
These issues were resolved. (PMG-930954)
Dynamic Reports
- In list and Dynamic Report charts, the system was displaying integer values as decimals (i.e., with a decimal point followed by two zeroes). This issue was resolved. (PMG-837816)
- When custom fields were relabeled on the user account Detail content link, the new labels were not appearing when those fields were added to Activity Participants-category Dynamic Reports. This issue was resolved. (PMG-906687)
- In the new Dynamic Report setup wizard, users who selected the Save button multiple times on the List Layout step were finding that the report preview was disappearing if a filter was applied to the data. This issue was resolved. (PMG-908208)
- An issue that was preventing users from bringing activity custom columns into certain Dynamic Reports was resolved. (PMG-910611)
- An issue with Dynamic Reports containing columns with customized labels was resolved. When these reports were run directly from Microsoft Excel, the columns were displaying their default labels instead of the customized labels. (PMG-913147)
- The OK and Cancel buttons were not visible in some instances when users set up filters in Dynamic Reports. This issue was resolved. (PMG-913613)
- An issue with exporting advisor Dynamic Reports to Excel was resolved. When a report contained advisor custom columns, the user-defined labels for those columns were not appearing in the exported file. (PMG-914122)
- Users were encountering the error "Spreadsheet is not defined for the selected dynamic report join" when they tried to create Dynamic Reports in the following report categories: Pending Case Notes, Opportunity Notes, Documents for Pending Case/Policy. This issue was resolved. (PMG-916403)
- An error that users encountered when they tried to create a copy of a Dynamic Report was resolved. (PMG-916782)
- An issue with Dynamic Reports that use the Summary list layout was resolved. When users created calendar activity reports sorted and grouped by activity sub-type and also enabled the Subtotal and Total attributes for the Sub-Type column, the sub-type counts displayed in the report were incorrect. (PMG-918158)
- An issue with Dynamic Report FTP uploads was resolved. When the E-mail Rule Details dialog box contained entries in the Recipient Users or Recipient Contact/Businesses lists that did not have valid e-mail addresses, the report was not uploading to the specified FTP site. The system no longer performs this e-mail address check for FTP uploads. (PMG-922412)
- An issue that occurred when users tried to export the results of certain Dynamic Reports was resolved. When a Dynamic Report was set up to allow users to change its date filters when the report was run, the process of exporting the list of results was hanging at the point where the system displayed the message "List export file is being created." (PMG-923462)
- An issue with Dynamic Reports that filtered on a date field using a popular date range was resolved. When the Ignore Year option was selected and the date range included dates from the next calendar year, the report was not producing any results. This issue was resolved. (PMG-925959)
- For Dynamic Reports that are set up to allow filter criteria changes when run, users who tried to change the filter criteria were sometimes not seeing the OK and Cancel buttons and therefore could not apply their changes. This issue was resolved. (PMG-929773)
- Users who created or modified Dynamic Reports belonging to the Activities for Advisors report category did not have access to the ActivityCustom table and its columns. This issue was resolved. (PMG-930815)
- A "failed to load object" error that child-office users were encountering when they ran certain System-office activity reports was resolved. The error was occurring when the report was grouped by participant. (PMG-931106)
Home Page
- An issue with home page portlets displaying Goals-category Dynamic Reports was resolved. When a report was grouped by goal and the portlet height was less than 300 pixels, the goal number was being cut off. (PMG-915995)
- An issue with assigning a home page dashboard to another user was resolved. If that user later removed the dashboard, the assigning user was no longer seeing it in the Manage Dashboards dialog box. (PMG-917620)
- In some instances, home page tabs shared from a System office were appearing in child offices without an "x" button, preventing users from closing those tabs. This issue was resolved. (PMG-930917)
- An "invalid chart definition" error was occurring in some instances when a user tried to view a Dynamic Report chart in a dashboard. This issue was resolved. (PMG-932066)
Households
- When a user selected the Create New Household command on the Contact List (under Menu > Advanced Options), the user could not complete the process because the Save button in the New Household dialog box was not working. This issue was resolved. (PMG-931393)
Sets
- An issue that occurred after a user created a set filter was resolved. When the filter was based on the Birth Date column, the date range was set to Past Month and the Ignore year option was enabled, the new filter was displaying the string "strPrevMonthIgnoreYear" in the Filter Criteria list. (PMG-932020)
SmartPad
- Users who tried to enter a SmartPad note for multiple contacts at the same time were encountering an "internal server" error. This issue was resolved. (PMG-921403)
SmartCalendar
Featured Enhancements
Activity Outcome Busy/Available Time Indicator
When a user selects the Pick Date and Time button in the Activity Outcome dialog box to reschedule an activity, SmartOffice now shows the time slots the user has free for the selected date, with busy time slots shown in dark blue.

Other Enhancements
- Fewer clicks when creating new Done activities: To streamline the activity creation workflow, SmartOffice no longer asks the user for confirmation when the user creates an activity and sets its status to Done. Previously, the system was unnecessarily displaying the message "Mark the current activity as Done?" and prompting the user to select OK or Cancel. (PMG-922237)
Resolved Issues
- An issue that was preventing users from navigating from the calendar Day view to the Week view was resolved. The issue was occurring when the Tasks list on the Week view contained an alphanumeric contact custom column and the user was viewing the calendars of two or more users. (PMG-911109)
- An issue was occurring when a task's start date or end date was changed at the same time as the task's description. After the task was saved, the relevant SmartPad entry was not reflecting the modified description. (PMG-912568)
- An issue with entering start and end dates for activities using the Pick Date button was resolved. When users selected any date quickly more than twice, SmartOffice was inserting a random date into those fields. (PMG-916158)
- The task AutoMove feature was not moving unfinished tasks to the current day in some instances. This issue was resolved. (PMG-919576)
- After marking a calendar activity or task as Done, users who tried to reschedule the activity/task in the Activity Outcome dialog box were unable to select a date. This issue was resolved. (PMG-919947)
- An issue with the Tasks list on the calendar Day and Week views was resolved. When the Sub-Type column was added to the list and the user sorted the list by that column, task descriptions were displaying incorrectly. (PMG-921053)
- On any calendar view, users who navigated to the Custom tab were finding that they could no longer access the Group Scheduling tab. This issue was resolved. (PMG-921314)
- An issue with viewing tasks in a maximized Tasks list was resolved. The issue occurred when a user opened a task from the list, added values to fields on the task's Custom tab and saved the changes. When the user then selected the same task in the list and selected the Custom tab, the fields the user had populated were appearing blank. (PMG-921779)

Presale Count Fields
Users can now track the number of quotes and/or illustrations run for a particular advisor and client directly within a single presale activity record. Presale records now have three Presale Type drop-down lists, each with its own Count field.
For example, a user could enter Whole Life with Term Rider as one type and 3 as the count to show that three quotes/illustrations for that line of business have been run for that advisor and client. The choices available in the Presale Type drop-down lists can be defined by users who have the Drop-Down Choice Customization user right (all three drop-down lists display the same choices). Presale Type and Count columns are also available in presale lists and Dynamic Reports. (PMG-907462)
Improved Province Selection for Appointment Records
In advisor and agency appointment records, the options for editing province information have been revised for improved usability:
- A new Province drop-down list enables users to quickly select a single province (this field cannot be edited when any of the options described below are selected).
- To specify more than one province, the user can now select the new Multiple Provinces option, which reveals the scrolling list of provinces (previously, this list was always visible).
- To specify all provinces, the user can select the All Provinces option as before, but selecting this option now hides the list of provinces and automatically selects the Multiple Provinces option.

In advisor/agency continuing education and compliance records, users can now specify multiple provinces in a single record. - Improved case search for linking presale records: When users try to link a presale activity to an existing pending case, the system now populates the Plan Type and Policy Type fields in the Search Pending Cases dialog box automatically based on the information in the presale record. - An issue that occurred when users opened advisor records from Global Search results was resolved. When users added license records on the advisor License/Compliance content link, the licenses were not appearing on that content link when the page refreshed. (PMG-559058)
- On the advisor Key Relations content link, users who tried to add a policy contact who was not in the contact database were encountering an "insert/update failed" error instead of a message stating that no matching record was found. This issue was resolved. (PMG-600146)
- An issue with the Advisor Contract List section of the advisor Cont./Appt. content link was resolved. Selecting more than one advisor contract and then selecting Advanced Options > Related Commission Rates from the Options

- Several issues affecting the presale activity Detail content link were resolved:
- Under Results, when values were entered in the Insurance Type and Plan Type fields, changing the Insurance Type and then saving the record was changing the Plan Type field value to a number. In addition, changing the Insurance Type repeatedly was creating duplicate entries in the Plan Type drop-down list.
- When the presale activity was linked to a pending case with an insurance type and plan type different from those specified in the presale record, the system was displaying the pending case Underwriting content link with the wrong insurance type in the title. In addition, once the case was linked, selecting the Linked Case link was displaying the case with the wrong insurance type in the title.
- In newly created presale activities, the system was clearing the Presale Insured field when the user linked an opportunity to the presale record by typing the opportunity name and then saving the record.
- When the presale insured was a business and the insurance type was Group Cancer, Group Accident or Group Hospital, users who tried to convert the presale record to a pending case were seeing the dialog box for creating a pending case instead of a group policy. In addition, the Plan Type field value was changing to a number.

Ability to Hide Old Policy Advisor Entries
SmartOffice now allows an office to prevent advisors with an "old" role (e.g., Old - Primary Advisor, Old - Servicing Advisor) from appearing in the Policy Advisor List in policy, group policy and pending case records. To enable this option, go to Setup > Policy/Case Setup > Advisor Communication > Advisor Privacy and enable the new Hide old advisors in Policy Advisor Lists option.

- On the policy Basic Information and pending case Detail content links, customizing the fields under Important Contacts was causing the File Location field to become a text field instead of a drop-down list.

Automated Case Correspondence Enhancements
Improvements were made to the Auto Send Letter Detail dialog box for configuring automated pending case correspondence in Setup > Policy/Case Setup > Letter Setup > Pending Case Update (formerly Letter Setup > Pending Case by Status):
- The new Case Update Field drop-down list enables the user to specify whether the letter applies to case manager or status updates (previously, only status updates could trigger an automatic letter).
- The new From drop-down list enables the user to select which interested party will appear as the sender of the correspondence.
- The new E-mail From field provides the option to specify which e-mail address the correspondence will be from. If this field is blank, SmartOffice uses the e-mail address of the person whose role is selected in the From field.
- A new Send Automatically option can be enabled to tell the system to send the correspondence without further prompting the user.
As part of this enhancement, the Pending Case by Status section under Setup > Policy/Case Setup > Letter Setup was renamed Pending Case Update. (PMG-913201, PMG-916651, PMG-917628)
Await Quote Workflow Enhancement for Informal Cases
Several options were added to the Await Quote informal case workflow (Setup > Policy/Case Setup > Informal PCM Workflows > Await Quote Workflow). These options determine what happens to a case when a requirement is added before the case's status is Quote Received. Administrators can configure automatic status updates for the case and the Await Quote requirement, or specify that the Await Quote requirement be deleted.

Informal Workflow Improvements
In Policy/Case Setup, several changes were made to the Initial Informal Workflow setup to provide more options related to formalizing child cases. Administrators can now do the following:
- Specify a new status for parent cases once child cases are formalized.
- Tell the system to check that formalized child cases have policy numbers.
- Keep opportunities linked to parent cases once their child cases are formalized.
As part of this enhancement, several other changes were made to the system:
- Users can now create an informal pending case from an opportunity record using the new Menu > Workflow to Enter a New Case command, available on the opportunity Detail content link. SmartOffice automatically pre-fills fields on the new case using data from the opportunity.

- Case manager reassignment for SmartCase Viewer users: Users with the SmartCase Viewer license can now change the case manager on individual pending cases. - Case creation prompt for conversions: When a user updates the status of an inforce life insurance pending case to Converted and keeps the same policy number, SmartOffice now automatically prompts the user to create a new case. (PMG-921684)
- Interested party columns for pending case reports: In the All Cases category of pending case Dynamic Reports, users can now include columns containing interested party data. The Interested Party table was added to the list of available tables for these reports. (PMG-921810)
- Ability to dial advisors from pending cases: Customers who have configured phone system integrations with SmartOffice Pro can now dial advisors directly from pending case records. On the pending case Detail content link, under Policy Advisor List, click any number in the Full Phone column to send that number to your calling application. - New display option for Pending Case List: The system can now be configured so that, when users view the Pending Case List with the Underwriting All option selected from the Policy Stage drop-down list at the top, the list includes cases that are in the Proposed stage. - For users of the Microsoft Plug-in for SmartOffice, an issue with creating correspondence for multiple pending cases at once was resolved. When a user opted to send e-mail to the carrier and SmartOffice prompted the user to download the correspondence file, the system was returning an error in some instances. (PMG-921873)
- An issue with creating auto-send letters in Policy/Case Setup > Letter Setup > Pending Case Update was resolved. When the user entered the name of a correspondence template that did not exist and then selected the OK button, the system was returning an "insert/update failed" error. (PMG-921958)
- The system was allowing users to delete pending cases that contained subaccounts. This issue was resolved. SmartOffice now informs the user that the subaccounts must be deleted first. (PMG-921989)
- Users with the SmartCaseManager license did not have access to the Menu > Advanced Options > Case Manager Reassignment command. This issue was resolved. (PMG-923968)
- An issue with the configuration options in Setup > Policy/Case Setup > PCM Workflows > PCM Preferred Add was resolved. After selecting the Informal Application option under Application Type, users were finding that Plan Type drop-down list under Miscellaneous was displaying all plan types, regardless of which choice they selected from the Insurance Type drop-down list. Now, the choices available in the Plan Type drop-down list change depending on which insurance type is selected. (PMG-926348)
- The system's rule against allowing duplicate pending case status history entries (i.e., entries with the same status and status date) was preventing the addition of necessary status history entries in some instances. This issue was resolved so that a duplicate status history entry is allowed if the current or previous status history entry is different. (PMG-926570)
- Several issues with the dialog box for creating a pending case were resolved:
- For cases with a second insured, after the user specified the primary and second insureds, selecting or pointing to the name of the primary insured was displaying information about the second insured.
- When a user tried to specify product options without selecting a product, the system was correctly displaying an error message. But when the user selected a product and then tried to specify product options again, the Options hyperlink was not working.
- When a user selected a plan and product options, then changed the plan, the system was not clearing the Options field.
- For formal pending cases, when users searched for and added contacts to the Interested Parties section and then selected the Primary Insured/Annuitant or Second Insured/Annuitant hyperlink, SmartOffice was displaying the results of the interested party search instead of a search dialog box.

- When the user selected the When the replacement checkbox is checked, the requirement should be hyperlink, specified a requirement from another office, and then selected the hyperlink again to search for a different requirement, the system was displaying a search dialog box with the name of the other office as the title.
- When the user selected the When the replacement checkbox is checked, the requirement should be hyperlink and then searched for a requirement using the default criteria, the system was returning all available requirements instead of limiting them to the search criteria.

- An issue with adding an advisor assignment under Setup > Policy/Case Setup > Licensing/Contracting Setup > Advisor Assignment was resolved. When the user selected an advisor from the Recently Visited section of the search dialog box, the system was displaying the advisor record. (PMG-927846)
- In some instances, users who have browser-based file posting enabled could not post documents to pending case records. Users were encountering this issue after navigating to the pending case using the View Policy or View Pending Case link on an activity record. This issue was resolved. (PMG-930382)
- Two issues with creating underwriting guidelines were resolved:
- On the Underwriting Requirements screen for product guidelines, clicking the Add Req. button was having no effect when the user had not selected a cell. Because this button works only after the user selects a cell, the system now shows the button as being unavailable until the user does so.
- On the Underwriting Requirements screen for carrier guidelines, users who tried to create a requirement after performing a requirement search were finding that the requirement was not being added.

Group Policy Renewal Workflow
SmartOffice now makes the process of renewing group policies faster with a new renewal workflow. Select a group policy in a list or open the policy, and then select Menu > Renew Group Policy. The details of the renewed policy appear in the Renew Policy dialog box, where users can make any necessary changes.
The original policy remains visible in SmartOffice with its status updated to Replaced. This new workflow also carries forward advisor and supervisor commission data and re-establishes house commission data in response to any carrier and product changes. (PMG-910463)
Mass Modification of Group Policies
From the Group Policy List, users who have the Mass Modification user right can now edit the same field in multiple group policies at one time. Select multiple policies in the list, and then select Menu > Advanced Options > Mass Modify. Learn more about mass modification. (PMG-905828)

- On the Group Plans content link, when the list layout was customized to include the Carrier Name column, clicking a carrier's name was taking the user to the full-page record instead of opening the record in a dialog box. When the group policy was located in a child office in an office hierarchy, and a parent-office user with Enterprise View enabled clicked the carrier's name, SmartOffice was displaying a message stating that the record may have been deleted or the user may not have rights to access it.

- House Revenue field: A House Revenue field was added to advisor payment records. Speed Receipts
- Warning message for deleted speed receipt transactions: When a user tries to delete an open or validated transaction in a speed receipt, the system now warns the user that the entire speed receipt will be deleted. The user can then opt to proceed or cancel. (PMG-915381)
- Status filter for Speed Receipt List: A Status drop-down list was added to the top of the Speed Receipt List, enabling users to quickly narrow down the list of speed receipts displayed by status.

- An issue that occurred when multiple commission rates were defined for a product was resolved. When one rate was defined for all provinces and another was defined for a specific province, new policies added for the specific province were sometimes being automatically linked to the all-provinces rate instead of the province-specific rate. - Users who tried to add columns from the Product Custom table to the Commission Rates List were encountering a "failed to load object" error when they applied the changes. This issue was resolved. (PMG-922934)
- An issue with Dynamic Reports in the Advisor Commission Excluding Adjustment Entries category was resolved. While viewing the list of report results, users who tried to add the Group Plans column to the list were encountering a "failed to load object" error. (PMG-924689)
- On the advisor Commission content link, when users added entries to the bottom Advisor Payment List, the entries were not appearing in the list until the page was refreshed. This issue was resolved. (PMG-927051)
- Policies in which the primary advisor and additional writing advisor were the same person were causing several commission-related issues:
- When no commissions were generated for the additional writing advisor, the system was still not allowing users to delete that advisor from the Policy Advisor List.
- The system was not taking the split percentage into account when calculating commissions for the additional writing advisor.
- In some instances, the system was allowing users to delete advisor records even when commission records had been generated for them.

Carrier Posting
- In carrier posting records, an issue that occurred when the Expected Commission List included the Product Name column was resolved. The issue occurred when the user selected a product name in that column to view the product's details. When the user then tried to add a risk class to the product's Class List, a "failed to load object" error was appearing. (PMG-598876)
- In Carrier Posting-category Dynamic Reports, the Batch Name column was blank for some records that were linked to the proper batch. This issue was resolved. (PMG-915218)
- An issue was occurring when the Enable Comm. Track Yrs. Filter field in Setup > Commissions Setup > Carrier Posting Setup was set to Project from the policy Date or Project for previous month. The system was calculating commissions for policies containing policy dates that were in the Inactive stage with a status of Not Taken. This issue was resolved. (PMG-915220)
- Several layout issues affecting Carrier Posting-category Dynamic Reports were resolved, including an issue that was causing incorrect values to display in the Cheque Amount field of records accessed from the report results list. (PMG-915255)

Speed Receipts
- An issue with calculating commissions from Speed Receipts was resolved. The system was not calculating commissions on rolling target premiums correctly for levels 1 and above when a base calculation did not already exist. (PMG-904048)
- An issue that was causing Base-type commission transactions to be linked to Bonus-type transactions after speed receipt validation was resolved. The issue was affecting customers with specific office hierarchy configurations. (PMG-914015)
- When the Commission Data section of a speed receipt record included the Policy Alert column, the column was not displaying alerts for group policies linked to listed commission transactions. This issue was resolved. (PMG-915358)
- An issue that was causing corruption of speed receipts was resolved. When a speed receipt was linked to a carrier posting that was later deleted, any unlinked speed receipt transactions were retaining their Validated and Linked status and could not be reset. These transactions can now be reset by selecting the Options
button in the speed receipt and choosing the Reset Selected Transactions command. (PMG-930355)

Investment Accounts
- Users who tried to export an investment subaccount transaction list were getting a blank export file. This issue was resolved. (PMG-921773)
- While viewing the list of results from a contact/business search, users who selected the Menu > List Matching Unlinked Accounts command for multiple records at once were seeing duplicate account selection dialog boxes. This issue was resolved. (PMG-922372)
Investment Securities
- An issue that was causing downloaded investment security price dates to be off by a day was resolved. (PMG-913869)
Performance Calculations
- An issue with running performance calculations from the contact Investment Accounts tab was resolved. When the user selected the Initial Performance Date option for the calculations, SmartOffice was reporting that certain securities were missing prices, even though prices for those securities were present in the system. - On the household Performance content link, users who tried to add a record to the Index list were encountering an error stating that the requested record or page could not be displayed. This issue was resolved. (PMG-931335)
SmartView for Clients

Zoom and Webex Integrations
SmartOffice now integrates with the Zoom and Cisco Webex web meeting platforms, enabling users to schedule Zoom and Webex meetings directly from SmartOffice, track those meetings in the SmartOffice calendar and save Zoom transcripts and Webex recordings in the SmartPad. Once setup is complete, a user can select a service from the new Web Meeting drop-down list under Options in the Activity Detail dialog box (currently, the Web Meeting drop-down list is available for activities created directly from the calendar, not from other areas of SmartOffice).

Zapier Integration
The SmartOffice app for Zapier enables users to create integrations between SmartOffice and thousands of other web apps available on the Zapier platform, with no coding required. Link your SmartOffice and other web app accounts to Zapier, and then create "Zaps" to automatically exchange data between them. For more information, see Integrations - Zapier.
Other Enhancements
General
- Integration sign-in code generator: For users who do not access SmartOffice using a user name and password, SmartOffice can now generate sign-in codes for use in registering certain integrations. Go to Setup > Integration Sign-in Code to generate a code for a specific integration, such as Cisco Webex or Zoom.
Then, during integration setup, select the I don't access SmartOffice with a user name and password link when you are prompted to enter SmartOffice credentials. (PMG-911077)
- E-mail posting policy search enhancement for Outlook 365: In the SmartOffice add-in for Outlook 365, the policy/pending case search integrated into the e-mail posting feature was improved. For any policy or case containing a List Bill # value in SmartOffice Pro, the add-in search result displays an Invoice # field containing that value. The Invoice # field can help users distinguish among multiple policy records that have the same policy number. (PMG-916162)
- Updated Docupace menu options: For Docupace integration users, the Docupace Starting Point command under Menu > Integrations was renamed Docupace Quick Start to match the new name of Docupace's client onboarding solution. In addition, the icons for that command and the Docupace Client Folder command have been updated.

- New API method for retrieving deleted policies: Developers using the SmartIntegrator API now have access to a new method, GetDeletedPolicies, that retrieves the object IDs of policies located in SmartOffice’s Deleted Records area. (PMG-912098)
- Advisor contribution data from API: The policy advisor Contribution % field added to SmartOffice in 2021 Release 2 has been exposed to developers through the SmartIntegrator API. The data in that field is now accessible via the Contribution property of the InterestParty object. (PMG-912557)
- Improved GetContactsForEmail method: For developers using the SmartIntegrator API, the GetContactsForEmail method was enhanced to return all contact e-mail/web addresses. Previously, the method returned only the preferred e-mail address. (PMG-912706)
- Modified On columns exposed in API: Developers can now access the Modified On date property for the following objects through the SmartIntegrator API: Person, CommPostCheck, AcctMaster. (PMG-914046)
- Searchable custom field property: For developers using the SmartIntegrator API, the AlphaNum3 property of the CustomData object is now searchable. (PMG-915516)
- API access to policy underwriting type: Developers can now access policy underwriting type data through the SmartIntegrator API. The new Policy.UnderWriterType property is searchable and corresponds to the U/W Type field, which is located on the policy Basic Information and pending case Detail content links in SmartOffice. - Insured impairment data available through API: Developers accessing SmartOffice pending case data through the SmartIntegrator API can now access impairment information for insured parties:
- A HasImpairment property added to the InterestParty object indicates whether an insured’s record in the Policy Insured List has any impairments indicated.
- A new Impairment object provides access to properties of any impairment entries on insured records. In SmartOffice, this is the data that displays when a user selects the Impairments command in the Policy Insured List.

General
- An issue with inbound phone number searches for calls received on the 3CX phone system was resolved. (PMG-768326)
- An issue with SmartOffice authentication codes that was preventing users from registering certain integrations was resolved. (PMG-911077)
- An issue affecting e-mail posting using the SmartOffice plug-in for Outlook was resolved. When the message being posted contained the e-mail address of a contact shared from another office, the plug-in was not automatically selecting that contact in the Posting Details dialog box; users had to search for and select the contact manually. - When policies were imported from AgencyWorks, SmartOffice was not refreshing interested parties properly, which was resulting in outdated interested party entries appearing in SmartOffice policy records. This issue was resolved. (PMG-920613)
Investment Data Downloads
- An issue with CUSIP and symbol matching during the processing of investment data downloads was resolved. The system was failing to insert or update securities in SmartOffice when the CUSIP matched but the symbol did not. This issue was resolved. (PMG-892328)

- For users of the 3CX IP phone system, an issue that was preventing SmartOffice from matching incoming calls properly was resolved. (PMG-768326)
- Selecting the Post E-mail to SmartOffice button in Outlook was producing an “Invoke method GetContactsForEmail failed” error. This issue was resolved. (PMG-912706)

- When editing a contact's address in SmartOffice Anywhere, users were finding that the Address Type field was blank even after the type had previously been specified. This issue was resolved. (PMG-923537)
- In some instances, sets that a user marked as favorites were not appearing in SmartOffice Anywhere's Set List when the user set the Show My Favorites switch to Yes. This issue was resolved. (PMG-924246)
