Release Overview


SmartOffice 2022 Release 2 brings a usability enhancement to the side menu and new scheduling and correspondence options to the calendar. For agency users, this release contains improvements for entering continuing education and compliance information, the ability to mass modify group policies and a new way to create carrier postings for commissions. Release 2 also resolves issues identified in SmartOffice 2022 Release 1 and earlier releases.

Agency Management



System Requirements


SmartOffice no longer supports the Internet Explorer 11 web browser. SmartOffice is supported on the latest versions of Google Chrome, Mozilla Firefox and Microsoft Edge.

Note Regarding Text Changes in SmartOffice


This release may contain minor changes to text in dialog boxes and other areas of the SmartOffice user interface. Changes of this type are typically made to correct spelling, grammar, punctuation and other language-related issues. Such changes normally are not listed in this document unless they affect the way the application works.


SmartOffice Pro Changes


Core System



Saved Side Menu State

When a user minimizes or restores the side menu, SmartOffice Pro now remembers the menu's state when the user signs out and displays it the same way upon the next sign-in. For more information about minimizing the side menu, see Navigation - Side Menu. (PMG-920890)


Other Enhancements


General

  • Option to hide password reset command: Enterprise customers who provide SmartOffice access to their users through single sign-on can now configure their servers to hide the Menu > Reset Password command from users. In the server config.xml file, set the value of  to true or false. (PMG-922247)

Contact Management

  • New preferred communication option: (Enterprise customers only) Administrators can now configure their SmartOffice servers to display Phone as an additional preferred communication option in the following areas of the system:

- New - Contact dialog box


- Contact Add'l Personal content link


- New - Business dialog box


- Business Add'l Detail content link



To enable this option, set the value of the element in the server config.xml file to true. (PMG-918815)



Resolved Issues


General

  • An error that users were encountering when they tried to open documents was resolved. (PMG-918867)
  • A license expiration message that some users were encountering when they tried to sign in to SmartOffice was resolved. (PMG-920126)
  • An outdated copyright year displayed on SmartOffice Pro pages was updated. (PMG-921110)
  • Users were encountering a sign-in error when the PCM Reports option was selected in the Default location at sign-in (SOPRO) drop-down list under User Preferences > Basic Info. This issue was resolved. (PMG-921282)
  • When using browser-based file posting, users who specified keywords for files they posted using drag and drop were finding that the keywords were not being saved. This issue was resolved. (PMG-922224)

Contact Management

  • An issue with editing the page layout of the contact Add'l Detail content link was resolved. Users who changed the position of the Do Not Market check box in the Communication Privacy portlet were finding that the check box was changing to a drop-down list when they saved and applied the layout. (PMG-914932)
  • The prompt to accept contacts exported from another office was not appearing for Google Chrome and Microsoft Edge users. This issue was resolved. (PMG-916001)
  • In contact lists and records, several issues that were preventing users from accessing the Menu > Advanced Options > Start the Timer command were resolved. (PMG-917792)
  • In the New - Contact dialog box, users who specified a letter template in the Send Letter field were being prompted twice to confirm the sending of the letter when they saved the new contact. This issue was resolved. (PMG-921940)
  • An issue affecting business records containing multiple business key relations was resolved. When a user navigated to the business Key Relations content link, selected multiple business key relations under Business Hierarchy, and then tried to create a business key relation, SmartOffice was displaying the Business Key Relationship Details dialog box twice. (PMG-922211)

Correspondence

  • An issue that was preventing offices from sending outgoing e-mail from SmartOffice through the Microsoft 365 SMTP server was resolved. (PMG-918136)
  • Two issues with correspondence and documents were resolved:

- In the Method step of the Correspondence Wizard, selecting the Launch Word option was not opening the user's word processor when selected.


- In the contact Document List, when a user linked to a locally stored file using the Link to File Location command, the user was unable to open the file by selecting the icon in the Open column. A blank page was opening instead.

  • In the contact Letter Log, users who tried to open an entry containing a comma in its name were encountering an error. This issue was resolved. (PMG-916912)

Dynamic Reports

  • An issue with Dynamic Reports that use the Summary list layout was resolved. When users created calendar activity reports sorted and grouped by activity sub-type and also enabled the Subtotal and Total attributes for the Sub-Type column, the sub-type counts displayed in the report were incorrect. (PMG-918158)
  • The OK and Cancel buttons were not visible in some instances when users set up filters in Dynamic Reports. This issue was resolved. (PMG-913613)

Home Page

  • An issue with home page portlets displaying Goals-category Dynamic Reports was resolved. When a report was grouped by goal and the portlet height was less than 300 pixels, the goal number was being cut off. (PMG-915995)
  • An issue with assigning a home page dashboard to another user was resolved. If that user later removed the dashboard, the assigning user was no longer seeing it in the Manage Dashboards dialog box. (PMG-917620)

SmartPad

  • Users who tried to enter a SmartPad note for multiple contacts at the same time were encountering an "internal server" error. This issue was resolved. (PMG-921403)

SmartCalendar



Activity Outcome Busy/Available Time Indicator

When a user selects the Pick Date and Time button in the Activity Outcome dialog box to reschedule an activity, SmartOffice now shows the time slots the user has free for the selected date, with busy time slots shown in dark blue.

New Correspondence Options in the Calendar

Users can now send correspondence from the Tasks list on the calendar Day and Week views. To access this feature, select the Correspondence button in the Tasks list button bar, or select the Options button and choose Communication > Correspondence.

Resolved Issues


  • On the Activity Detail dialog box, users were able to select options from the Web Meeting drop-down list for past activities, tasks, and all-day activities. Now, the drop-down list is disabled for those activities. (PMG-919430)
  • The task AutoMove feature was not moving unfinished tasks to the current day in some instances. This issue was resolved. (PMG-919576)
  • After marking a calendar activity or task as Done, users who tried to reschedule the activity/task in the Activity Outcome dialog box were unable to select a date. This issue was resolved. (PMG-919947)
  • An issue with the Tasks list on the calendar Day and Week views was resolved. When the Sub-Type column was added to the list and the user sorted the list by that column, task descriptions were displaying incorrectly. (PMG-921053)
  • On any calendar view, users who navigated to the Custom tab were finding that they could no longer access the Group Scheduling tab. This issue was resolved. (PMG-921314)

SmartOpportunities


Enhancements


  • New method to link advisors to opportunities: Users can now link a new advisor record to an opportunity directly from the New - Advisor dialog box. An Add an Opportunity section is now available at the bottom, enabling the user to select the appropriate opportunity process.

Resolved Issues


  • Users who did not have the Mass User Assignment user right did not have access to the Menu > Automatically Move to Next Stage command from the Opportunity List. The Mass User Assignment user right is no longer required to use that command. (PMG-920374)

SmartCampaigns

  • In marketing campaign lists and Dynamic Reports, two extraneous Percentage columns linked to the Campaign table were removed. (PMG-918222)

Advisors/Agencies



Improved State Selection for CE and Compliance

In advisor/agency continuing education and compliance records, users can now specify multiple states in a single record. This enhancement eliminates the need to create a separate record for each state. Select the new Multiple States option to reveals a list of states to choose from. To quickly select all states, select the new All States option.

Resolved Issues


General

  • An issue that occurred when users opened advisor records from Global Search results was resolved. When users added license records on the advisor License/Compliance content link, the licenses were not appearing on that content link when the page refreshed. (PMG-559058)
  • An issue was occurring when the page layout of the advisor Personal or agency Detail content link was customized. When users clicked the name in the Supervisor field, SmartOffice was displaying the supervisor record in a pop-up instead of navigating to the record. This issue was resolved. (PMG-918595)

Insurance Products and Carriers


Resolved Issues


  • When the page layout of the carrier Misc Information content link was modified to include a custom field, users who entered data into that field were finding that the data was not being saved. This issue was resolved. (PMG-903958)
  • Two issues with product options were resolved:

- When adding 100 or more product options to a product at once, users were being signed out of SmartOffice.


- When deleting 100 or more product options from a product at once, users had to wait a long time for the operation to complete, and SmartOffice was displaying a blank dialog box.

Enhancements


  • New merge codes for policy preferred e-mail addresses: Two new merge codes for policy and pending case correspondence display preferred e-mail addresses

- OwnerPrefEmail: Displays the policy owner's preferred e-mail address.


- PrimaryInsuredPrefEmail: Displays the primary insured's preferred e-mail address.

Resolved Issues


  • When users opened the Illustration Import dialog from a policy or pending case record or list (Menu > Advanced Options > Illustration Import), the choices in the Setup Name drop-down list were not alphabetized. The names are now alphabetized to make finding a particular setup easier, especially when many choices are available. (PMG-917665)
  • An issue was occurring when the list layout of the policy Subaccounts List was modified to make the Product Name column the first column. When a user clicked the first-column hyperlink to view the details of a subaccount, SmartOffice was returning an error stating, "The requested record or page cannot be displayed." This issue was resolved. (PMG-918971)
  • An issue with printing policy records was resolved. Long page titles were wrapping to the next line and printing over portlet titles. (PMG-921134)

  • Command to e-mail case manager restored: From the Pending Case List or from an open pending case record, users have access to the Menu > Communication > E-mail Case Manager command once again. The command was removed in a previous SmartOffice release after users encountered issues with it, but those issues have been resolved. (PMG-912644)
  • Interested party columns for pending case reports: In the All Cases category of pending case Dynamic Reports, users can now include columns containing interested party data. The Interested Party table was added to the list of available tables for these reports. (PMG-921810)

Resolved Issues


  • An issue with sending case status reports using the Insurance > Case Status command in the side menu was resolved. Selecting the By selected pending cases option and then selecting cases from the Recently Visited section of the Search Pending Cases dialog box was producing an error when the user tried to send the report. (PMG-787061)

SmartBenefits



Mass Modification of Group Policies

From the Group Policy List, users who have the Mass Modification user right can now edit the same field in multiple group policies at one time. Select multiple policies in the list, and then select Menu > Advanced Options > Mass Modify. Learn more about mass modification. (PMG-905828)


Other Enhancements


  • Group product custom fields in group policy reports: In Group Policy-category Dynamic Reports, users can now add group product custom fields as columns. The Group Product Custom table is now available in the list of available tables for these reports (note that custom fields must be defined for group products for this table to appear). (PMG-905825)

SmartWholesaler


Resolved Issues


  • An issue with adding a contract to a producer or firm record was resolved. If the producer/firm was designated as a house account, the system was displaying a message telling the user to complete all required fields, even when all required fields were already completed. (PMG-919788)

SmartCommissions



Additional Method for Creating Carrier Postings

Users can now create a carrier posting while viewing the details of an existing carrier posting. From the Detail content link of an existing carrier posting, select Menu > New 'Carrier Posting' Record. (PMG-894889)


Other Enhancements


General

  • Contact custom columns in advisor commission reports: Users can now add contact custom fields as columns in Advisor Commission-category Dynamic Reports. The Contact Custom table was added to the list of available tables for that report category in the Dynamic Report Setup dialog box (note that custom fields must be defined for contacts for this table to appear). (PMG-639074)

Batch Processing

  • House Revenue field: A House Revenue field was added to advisor payment records. SmartOffice calculates house revenue by multiplying the Amount Retained by House value by the advisor's split percentage on the policy. The system automatically populates this field when the associated commission batch is processed and clears the field if the batch is unposted. (PMG-903049)

Speed Receipts

  • Warning message for deleted speed receipt transactions: When a user tries to delete an open or validated transaction in a speed receipt, the system now warns the user that the entire speed receipt will be deleted. The user can then opt to proceed or cancel. (PMG-915381)

Resolved Issues


General

  • When creating a commission rate record, users who selected a Supervisor-type contract in the Contract Name field were finding that the Contract Type field was displaying a value of Advisor. This issue was resolved. (PMG-917550)
  • The system was not building the commission hierarchy when a user changed the carrier and product during the group policy renewal process. This issue was resolved. (PMG-919794)
  • An issue with commission rates that use premium banding was resolved. When a user edited the Up to Premium field on a rate record and saved the change, the value in the Up to Premium column of the Commission Rates List was not updating. (PMG-920109)

Speed Receipts

  • An issue with calculating commissions from Speed Receipts was resolved. The system was not calculating commissions on rolling target premiums correctly for levels 1 and above when a base calculation did not already exist. (PMG-904048)

Performance Calculations

  • An issue with running performance calculations from the contact Investment Accounts tab was resolved. When the user selected the Initial Performance Date option for the calculations, SmartOffice was reporting that certain securities were missing prices, even though prices for those securities were present in the system. (PMG-918348)

Integrations and Data Services


Enhancements


General

  • Account numbers in Morningstar export: The Morningstar Export Utility now exports account number information in addition to account name. This change addresses an issue in which positions from multiple accounts with the same account name in SmartOffice were being imported into a single account in Morningstar applications. (PMG-917523)

Pending Case Downloads

  • Ability to edit and reprocess failed cases: A new Edit HO Case Carrier Data user right enables the user to edit certain fields in HO pending cases that failed to process due to bad data received from the carrier. Editable fields include Plan Name and Plan Code (for both the case and any riders) as well as the name and address information of the insured and other interested parties. After editing an HO pending case, the user can select the new Menu > Reprocess Modified Data command from the case's Basic Information content link to submit the case for reprocessing during the next HO pending case download/processing cycle. (PMG-916705)
  • Option to turn interest percent processing on or off: When configuring Direct Download and Replace options, administrators can now tell SmartOffice whether to process interest percent data received in pending case downloads. The new Do not process Interest Percent option added under Setup > Policy/Case Setup > DataXchange Setup > DDR Setup is cleared by default. (PMG-919015)

SmartIntegrator and SmartXchange

  • More leads fields available through API: Developers can now access additional SmartOffice leads data through the SmartIntegrator API using the following properties:

General

  • An issue with inbound phone number searches for calls received on the 3CX phone system was resolved. (PMG-768326)
  • An issue affecting e-mail posting using the SmartOffice plug-in for Outlook was resolved. When the message being posted contained the e-mail address of a contact shared from another office, the plug-in was not automatically selecting that contact in the Posting Details dialog box; users had to search for and select the contact manually. (PMG-915864)
  • When policies were imported from AgencyWorks, SmartOffice was not refreshing interested parties properly, which was resulting in outdated interested party entries appearing in SmartOffice policy records. This issue was resolved. (PMG-920613)

Pending Case Downloads

  • An issue with the formatting of postal codes in downloaded pending case files was causing SmartOffice's address-matching process to fail in some instances. This issue was resolved. (PMG-920605)
  • In organizations where HO pending cases with the same policy number and carrier are downloaded into more than one office, sync issues were causing statuses for the same case to differ in each office. This issue was resolved. (PMG-921491)

SmartIntegrator and SmartXchange

  • Developers who tried to insert group policy records using the SmartIntegrator API were encountering an exception. This issue was resolved. (PMG-920302)
  • Under certain conditions, policies and pending cases were being updated with incorrect primary contact information when the update was requested through SmartIntegrator. This issue was resolved. (PMG-921278)

SmartOffice Anywhere Changes

  • In the SmartOffice Anywhere mobile app, several issues that users were encountering when entering subject lines for new activities were resolved. These included text display issues as well as the inability to add text to a subject line selected from the Subject drop-down list. (PMG-919232)
