System Requirements
The system requirements for SmartOffice have changed with this release:
- Because Microsoft has ended extended support for Office 2007, SmartOffice no longer supports integration with that product.
Important: This release of SmartOffice Pro requires the latest version of the Microsoft Plug-in for SmartOffice for correspondence and other important workflows. Earlier plug-in versions are not compatible with this release.
To ensure you have the latest version, go to the plug-in download page and compare the version number listed there with the version that appears on the plug-in sign-in dialog box.

Important Changes to Default Settings
This section highlights notable changes to SmartOffice settings and changes to system default settings that may alter existing workflows, reports and other areas of the system.
- The Print List command now defaults to the Print All option when no record in the list has been specifically selected. Previously, SmartOffice was automatically selecting the currently highlighted record and printing only that row by default. (PMG-752523)
Note Regarding Text Changes in SmartOffice
This release may contain minor changes to text in dialog boxes and other areas of the SmartOffice user interface. Changes of this type are typically made to correct spelling, grammar, punctuation and other language-related issues. Such changes normally are not listed in this document unless they affect the way the application works.

Featured Enhancements
Two-Step Authentication
Users can now strengthen the security of their SmartOffice user accounts by enabling two-step authentication. When this feature is enabled, a user must enter a one-time code in addition to an office name, user name and password to access SmartOffice Pro or SmartOffice Anywhere from the SmartOffice sign-in page.
Codes are delivered to users by e-mail or text message immediately after they attempt to sign in to SmartOffice. Two-step authentication can be enabled in SmartOffice Pro under User Preferences > 2-Step Authentication. For more information, see our help topic. (PMG-625378, PMG-757778)
Browser-Based File Posting
Users now have the option to post files to SmartOffice entirely within the browser, without using the Microsoft Plug-in for SmartOffice. This enhancement makes file posting available to users who choose not to install the plug-in (or who are unable to install it for any reason).
To switch to browser-based file posting, go to User Preferences > Correspondence Options and select Browser under the new File Posting Method section.
Once that option is enabled, users who try to post files to SmartOffice see the new File Posting dialog box, which features both drag-and-drop selection of files as well as a Select Files button for choosing the files to post.
Note that browser-based file posting currently has a few limitations compared to plug-in-based file posting:
- There is no option to link to files on the local computer instead of posting them.
- No free-form keyword entry is available; users can assign only pre-defined keywords to posted files.

Revamped Page Layout Customization
SmartOffice's page layout customization feature has been significantly redesigned to make it easier for users to design and manage page layouts.
Users can now do the following when editing a layout:
- Create a layout with up to four columns.
- Edit fields in predefined portlets.
- Find portlets and fields more quickly in one combined, searchable list.
- Drag portlets and fields into and out of the layout from the list.
- Rearrange portlets and fields in the layout by dragging them.
- Adjust the widths of certain fields.
- Add Dynamic Reports from any report family.
- Undo layout changes.
- Edit any other page layout quickly by selecting it from a drop-down list.
- Edit a layout created by another user in the same office.
- Prevent other users in the office from modifying the layout.
- Make the layout a favorite record so that it is easier to find.
In addition, users have these new capabilities for managing page layout templates:
- View a layout and its details together on one page.
- See a list of users who have applied a particular page layout template.
- See a list of templates applied by a particular user (and reset a template for that user's account).
- (Enterprise customers only) Replace default content link labels with template names.

On-the-Fly Filter Creation in the Correspondence Wizard
Users who want to send correspondence to a list of recipients based on a filter can now create a filter without leaving the Correspondence Wizard. To do so, select the Using a Filter option on the Recipients step, and then click the New button in the Filter Name field.
When prompted, select a filter category and create the filter (see Creating a Filter for help). Once the filter is created, it appears as the selected filter in the Correspondence Wizard, and the user can proceed to the next step. (PMG-792043)
Customizable Duplicate Record Detection
SmartOffice Pro now allows users to define their own methods for identifying duplicate records in the system. When users perform a manual check for duplicates (Utilities > Duplicate Records), the Duplicate Records dialog box now includes a Detection Method section that offers a choice between SmartOffice's default method or a custom method.
After selecting the Custom option, click the Detection Method hyperlink to select a custom detection method or create a new one. For more information, see Duplicate Records. (PMG-783740)
Ability to Specify a Set for Imported Records
When importing contacts, businesses, advisors and agencies into SmartOffice, users can now select the set that the imported records will be added to. In the Data Import Wizard, a Set field is now available in the Select Options step.
Enter the set name directly into this field or click the Set hyperlink to search for a set. Note that only ad-hoc and combination sets are supported (for information about different types of sets, see Creating a Set). If a user does not specify a set, SmartOffice still creates a set for the imported records automatically at the end of the import process. (PMG-811490)
Improved Password Reset Process
The process of resetting a user's password using the "Forgot password?" link on the SmartOffice sign-in page has been improved. When SmartOffice asks the user to provide the answer to his or her security question, users who have forgotten the answer can now click a new I forgot the answer to my security question link. This action sends a new, temporary password to the e-mail address associated with the user's SmartOffice account. (PMG-703390)

Users can now include data from more custom fields in correspondence. The following merge code tables were added:

Ability to Link to Local Documents
Users can now link to files on their local computers instead of posting them to SmartOffice. On the Letters/Documents content link of any record, click the Options button in the Document List section and select Link to File Location.
You can then enter the file's full path and other details. (PMG-781264)
Other Enhancements
General
- Better list printouts: Printed lists now display more records on a single page. This was accomplished by moving the page number and copyright information closer to the bottom of the printout and reducing the amount of space taken by the Records Shown count at the top. (PMG-737378)
- Expanded access to Compliance View: In enterprise environments, SmartOffice Pro now allows the Compliance View user right to be assigned to a user who has no administrator user rights. Previously, a Compliance View user had to have the Administrator: User Rights & Creation/Licenses/Groups user right. (PMG-748344)
- Print All by default: The Print List command now defaults to the Print All option when no record in the list is specifically selected. Previously, SmartOffice was automatically selecting the currently highlighted record and printing only that row by default. (PMG-752523)
Contact Management
- Ability to mark e-mail addresses as "bad": To help users better manage contact e-mail addresses that have become invalid or otherwise unusable, SmartOffice Pro now displays a Mark as Bad E-mail option in the e-mail detail dialog box.
Selecting this option displays the e-mail address in red in the contact's E-mail/Web Addresses list. In addition, the Correspondence Wizard now warns users when an e-mail message is addressed to an e-mail address marked as bad. (PMG-242790)
- Choice customization in employee census records: In employee census records, users who have the appropriate rights can now customize the choices in the drop-down lists under Coverage Information (Medical, Dental, Vision, Life and STD). (PMG-729489)
- Improved tracking of archived contacts: For offices that have the Protect Communication History feature enabled, two changes provide better tracking of archived and restored contacts:
- Two new columns are available in the Archived Records List (Utilities > Archived Records). The Archived By column indicates which user archived a record, and the Archived On column displays the date a record was archived.
- In offices that also use the Audit Trail feature, SmartOffice now treats the archiving or restoration of a contact as a change in record type from Contact or Business to Archived (or vice versa). Entries noting these changes now appear in the SmartPad Change List (Utilities > SmartPad Changes). If an archived contact is restored, entries also appear under the Changes tab in the contact's SmartPad.

- Contact benefit information in page layouts: When creating custom page layouts for contact records, users can now include useful benefit information by adding the Insurance Totals and Investments Totals portlets. In addition, individual fields from the Contact Benefit table, such as the Total Premium field, can now be added to any portlet. (PMG-801482)
- Key relations in page layouts: Key Relations portlets are now available for use in all custom page layouts. When the portlet is included in a contact custom page layout, users can group, sort and filter the list by criteria such as relationship type (e.g., Family, Personal, Business). To do so, customize the portlet's list layout to add columns from the Relationship table, and then configure the appropriate grouping, sorting and/or filtering settings.(PMG-801725, PMG-803566)
Correspondence
- More user input merge codes: Ten additional run-time user input merge codes are now available for use in correspondence, bringing the total to 20. The new merge codes are labeled UserInput11 through UserInput20. The new fields are also accessible to developer partners through SmartIntegrator. (PMG-711691)
- Better sender information in e-mail correspondence: Regular e-mail sent from SmartOffice now includes the sender's name in the From field in addition to the sender's e-mail address. Previously, only e-mail sent from specific modules (e.g., SmartCaseManager) was displaying the sender's name. (PMG-749427)
- Improved display of correspondence template names: In the Template Selection step of the Correspondence Wizard, long template names now wrap instead of pushing the other columns in the template list to the right. (PMG-772069)
- Support for web-based Outlook (enterprise customers only): Enterprise customers can now configure SmartOffice Pro to launch the web-based version of Outlook for certain correspondence workflows. This enhancement better integrates SmartOffice Pro with Office 365. After this feature is enabled, SmartOffice Pro automatically opens Outlook on the web when users click e-mail addresses and Launch E-mail links, or when they forward or reply to e-mail messages from the SmartPad. To enable this feature, change the new
element in the server config.xml file to read as follows:

- Correspondence command on Activity Log: Users can now send correspondence from the contact Activity Log tab. This enhancement makes it possible for users to send activity follow-up/reminder letters to linked contacts directly from that tab instead of having to navigate to the calendar first. While viewing the Activity Log, select an activity, and then select Menu > Communication > Correspondence (or use the F10 shortcut key). (PMG-792316)
- More columns in correspondence template list: In the Template Selection step of the Correspondence Wizard, two columns, Keyword and Purpose, were added to the template list to further help users select an appropriate template. (PMG-809505)
Dynamic Reports
- Preferred phone info in household reports and lists: In household Dynamic Reports and lists, users can now add columns from the Preferred Phone table for the household head. The Preferred Phone table appears under the Household Head table in the List Layout Customization dialog box. (PMG-721540)
- Renamed address column: On Dynamic Reports, the Complete Address \[Preferred Address\] column was renamed Preferred Address to make its purpose clearer. (PMG-795890)
PDF Reports
- Ability to show/hide middle names in reports: A Show contact's middle name option is now available for many PDF reports in the Account Master, Investment, Performance, Policy, Holding Statement and Transaction report categories. The option appears near the top of the report options dialog box.

SmartOffice Sync for Microsoft Exchange
- Control of notifications for synchronized activities: Exchange sync users can now control whether activity participants receive e-mail notifications when an activity is created, changed or deleted in SmartOffice. A new Notify contacts when activity is created/changed option is available in the Activity Detail dialog box. (PMG-767775)
SmartPad
- Parent record ID columns for audit trail: On the SmartPad Changes tab, customers who need more advanced reporting on field changes can add the following new columns to the list layout: Parent Record DB Table ID, Parent Record ID and Parent Record Office ID. These columns show identifier information for the parent record linked to the record whose field was changed, enabling more granular tracking of changes. (PMG-809502)
Resolved Issues
General
- In contact lists, no date was appearing in the Last Contact field, even after a user sent correspondence to the contact, or when the user made a call to the contact and tracked it with an activity in SmartOffice. This issue was resolved. (PMG-583058)
- Users were receiving alerts about unsuccessful sign-in attempts that were dated after the sign-in attempt actually occurred. This issue was resolved. (PMG-666991)
- Chrome users who right-clicked certain fields in SmartOffice Pro were finding that the Paste option in the shortcut menu was not working. This issue was resolved. (PMG-714228)
- Users were unable to rename items on the side menu's History tab by right-clicking them. This issue was resolved. (PMG-718395)
- An issue that was preventing users from reporting or filtering on certain contact custom lookup fields was resolved. (PMG-721614)
- When the Search box contained text, clicking the box was not automatically selecting all of the text. This issue was resolved. (PMG-722087)
- In customized page layouts, users were unable to export lists displayed in portlets. This issue was resolved. (PMG-723262)
- When users typed extra spaces in certain text fields (e.g., SmartPad notes, Remarks fields), those spaces were appearing as gibberish characters when the data was exported to .csv format. This issue was resolved. (PMG-723547)
- Two Protect Communication History issues were resolved:
- When attempting to open a document from the SmartPad, users were seeing the prompt about viewing the document in read-only mode, but clicking Yes was not displaying the document.
- When opening a document from the Letters/Document content link of a record, users were not seeing the prompt about viewing the document in read-only mode. Instead, the document was opening immediately and was editable.

- The keyboard shortcut ALT+Q was not opening the Search box drop-down list. This issue was resolved. (PMG-724250)
- While creating or editing a custom page layout, users were encountering issues when trying to change half-width portlets to full-width portlets. This issue was resolved. (PMG-727944)
- The Search box was not displaying the "X" button that enables users to quickly clear the contents of the box. The button was restored. (PMG-728223)
- When a heading format such as Heading 1 was applied to text in the Remarks field of a record, the B (bold) button in the toolbar was not activating to show that the text was bold. This issue was resolved. (PMG-728812)
- On the contact Expenses content link, the Remarks column was displaying gibberish characters. Remarks now appear properly. (PMG-731059)
- When performing advanced searches, users were finding that the only option available in the Sub-Type drop-down list was All. This issue was resolved. (PMG-731088)
- Selecting the User Suggestions option in the profile menu was not opening the user's default e-mail application. This issue was resolved. (PMG-731570)
- An issue with password resets was resolved. After a reset, users who signed in to SmartOffice using the temporary password were unable to change the password. (PMG-732343)
- Users were encountering word-wrapping issues when printing lists. These issues were resolved. (PMG-737365)
- In printed lists containing subtotaled columns, the subtotal values were formatted using a large font, which was causing those numbers to extend into adjacent columns. This issue was resolved. (PMG-737368)
- When an error message appeared in a list and a confirmation dialog box opened simultaneously, the size of the confirmation dialog box was expanding. This issue was resolved. (PMG-738365)
- A cross-site request forgery (CSRF) vulnerability discovered during internal security testing was resolved. (PMG-739703)
- An issue with viewing exported list data in Microsoft Word was resolved. Lists exported in .csv, .xml or tab-separated format were displaying extra spacing in Word 2010 and gibberish characters in Word 2013. (PMG-740642)
- An server license issue that locked SmartOffice Online users out of the system was resolved. (PMG-743227)
- Two issues with e-mail and SMS text reminders for calendar activities were resolved:
- The system was sending reminders to recipients with disabled user accounts.
- Users were continuing to receive reminders even after disabling that option in User Preferences > Basic Info.

- Users who did not have the Letters/Documents user right still had access to documents in carrier, product, rider, group product and presale activity records. This issue was resolved. (PMG-748116)
- Several issues with the Financial Calculator utility were resolved, including missing sections and section labels, non-functioning drop-down lists and buttons, errors and sudden sign-outs. (PMG-750098)
- An error that users were encountering when navigating the Detail content link of a job agent was resolved. (PMG-753287)
- An issue that was causing SmartOffice Pro to sign some users out of the system repeatedly was resolved. (PMG-753462)
- In User Preferences > Basic Info, users who entered a new mobile number or edited an existing number for receiving alert notifications were unable to save their changes. This issue was resolved. (PMG-766986)
- A web session hijacking vulnerability discovered during internal testing was resolved. (PMG-768167)
- An issue that was causing unexpected sign-outs was resolved. (PMG-771678)
- Layout issues in the record merge dialog box were causing the Merge and Cancel buttons to become hidden in some instances. In addition, the appearance of the merge confirmation message window was inconsistent with that of other SmartOffice Pro messages. These issues were resolved. (PMG-771992)
- Some offices that use a custom logo for branding in SmartOffice Pro were finding that the logo was changing unexpectedly. This issue was resolved. (PMG-774816)
- In some instances, users who customized the Quick Action Corner were finding that their buttons were no longer appearing on a single line. This issue was resolved. (PMG-775044)
- On the contact Personal content link, an issue with the map button in the Addresses section was resolved. Clicking the button was opening Google Maps as expected, but the address was not appearing in the originating address field in some instances. (PMG-777878)
- The Reset Password command was not available on the user account Detail content link. This issue was resolved. (PMG-780459)
- On the user account Detail content link, the Contact Record for This User link was not working. This issue was resolved. (PMG-780500)
- Several system-office issues were resolved (these issues affected enterprise administrators only):
- The system was not displaying a warning message when administrators tried to create offices using existing office IDs.
- Dialog boxes related to the Schema Consistency Check feature were not behaving properly.

- After saving changes in Office Settings and User Accounts, users were encountering extra page refreshes. This issue was resolved. (PMG-783126)
- In Deleted Records, an issue with the deleted activities search was resolved. On the Activity Search Results list, the Modified On and Modified By columns belonging to the Activity table were mislabeled. These columns were renamed Deleted On and Deleted By. (PMG-784520)
- An issue that was preventing submenus from opening in Chrome was resolved. (PMG-785120)
- When a record alert was deleted, users who later opened that record were still seeing an alert in some instances, but the alert window was blank. This issue was resolved. (PMG-785776)
- When the page layout of the contact Personal content link was customized to include the Investment Positions portlet, printing the content link was displaying incorrect position data. This issue was resolved. (PMG-786157)
- On the contact Custom content link, users who selected the Menu > Print command were finding that sections containing scroll bars were appearing that way in the printout, i.e., with some fields not displayed. This issue was resolved so that printouts display all fields in these sections. (PMG-789212)
- When creating custom page layouts, users were finding that the Business Name field was not available for use in custom portlets. This issue was resolved. (PMG-790125)
- Chrome users were encountering an issue in which changes to records were not being saved properly. This issue was resolved. (PMG-790996)
- Incorrect placement of check boxes in the record merge dialog box was resolved. This issue affected policy, carrier, product, rider and underwriting requirement record merges. (PMG-791711)
- On record lists, the system was not displaying numeric values right-aligned. In addition, when lists were printed, numeric values did not contain commas. These issues were resolved. (PMG-796689)
- In the Deleted Records area of the system, the Deleted Activities list was displaying only those activities in which the signed-in user was the primary participant. This issue was resolved. (PMG-801805)
- An issue that was causing buttons throughout SmartOffice Pro to appear stretched was resolved. (PMG-802103)
- On the Department/Team Hierarchy content link in Office Settings, users who tried to create a user proxy for an existing team hierarchy that did not already have one were encountering an error stating that the process failed. This issue was resolved. (PMG-802259)
- An issue that was causing text in message prompts to be cut off was resolved. (PMG-807880)
Alert Center
- In the Alert Center, an issue with PCM Follow Up Activities alerts was resolved. Clicking the Navigate To icon for these alerts was displaying a list of underwriting requirements by default. The system now displays all requirements needing follow-up. (PMG-723246)
- Deleted alerts were appearing again in the Alert Center the next time the user signed in to SmartOffice. This issue was resolved. (PMG-761107)
Contact Management
- Users who did not have the Delete permission for Contact/Business were unable to access the Mass User Assignment feature, even when they had the Mass Assignments user right. This issue was resolved. (PMG-647280)
- In custom contact page layouts containing the Contact - Remarks portlet, Internet Explorer users were finding that the Remarks box was missing its scroll bar when it contained a lot of text. The box was resizing itself instead to accommodate the text. The missing scroll bar was restored. (PMG-681909)
- On the contact Personal content link, clicking the name of the business in the Company field was opening a dialog box displaying limited information about the business instead of opening the full record. This issue was resolved. (PMG-709377)
- An issue with the Time Log for business records was resolved. After adding entries to the log, including start times, users who later opened those entries were finding that the start times were missing. (PMG-715398)
- An issue with entering phone numbers while creating contacts from the Contact List was resolved. When users typed too many digits in the Area Code column and then tried to save the record, the dialog box was shrinking after displaying the expected error. (PMG-721023)
- An issue with contact custom page layouts was resolved. When the Contact Identifications portlet was part of the layout, the Pick Date button was missing from the Issue Date field, and the Pick Date button on the Expiration Date field was not working. (PMG-727590)
- An issue with the business Employee Census content link was resolved. Users who imported employees using the Employee Census Import command were not seeing the imported records until the page was refreshed. (PMG-727931)
- An issue with adding address information to contacts with key relations was resolved. When the system asked the user whether the new address should be added to all key relations, users who clicked Yes were encountering an error incorrectly stating that the contact had no key relations. (PMG-732500)
- An issue that was causing an excessive number of columns to appear in the Contact & Business List was resolved. (PMG-733107)
- An issue that was preventing contacts' ages from being updated after data validation was resolved. (PMG-734253)
- An issue with contact Quick Reports was resolved. On the report results list, when users selected Birth Date from the Look for drop-down list and is in range from the Range drop-down list, the From and To date fields were not appearing. (PMG-743819)
- Several record sharing issues were resolved:
- When a specialist tried to accept a shared record, the Accept Shared Records From These Offices dialog box was excessively large, and some buttons were not working as expected.
- When the specialist clicked the sharing notification in the Alert Center, the system was displaying the accept/reject options in the main SmartOffice window instead of a dialog box.

- On the contact Activity Log tab, the Description/Subject column was displaying descriptions only. This issue was resolved so that the column displays subject information as well. (PMG-745279)
- An issue that was causing custom fields from one SmartOffice module to appear in records from other modules was resolved. (PMG-745313)
- On the contact Key Relations content link, an issue with using the Household-Key Relations Sync command on a contact with no associated household was resolved. The system was asking whether a household should be created for the selected contact, but clicking the Yes button was doing nothing. (PMG-749043)
- In the List Layout Customization dialog box for the Contact List, users who clicked the Search Column button were finding that the cursor was not automatically appearing in the Column Name field. This issue was resolved. (PMG-752609)
- Users were unable to copy information from SmartOffice contact fields using the shortcut menu (i.e., by right-clicking). This issue was resolved. (PMG-752858, PMG-756328)
- An issue with mass modifying columns on the business Employee Census content link was resolved. When the system displayed a confirmation message and the user clicked the Yes button, the confirmation was not closing. (PMG-754910)
- An issue with the Make/Receive Phone Call command was resolved. The issue occurred after the user selected the Outgoing Call option and filled in the activity details. An error was occurring when the user tried to mark the activity done to complete the workflow. (PMG-755428)
- An issue affecting contacts imported into SmartOffice with phone numbers was resolved. In correspondence, those contacts' phone numbers were not formatted properly when merge codes were expanded. (PMG-756151)
- Chrome users who tried to print the contact Personal content link were seeing only a partial screen. This issue was resolved. (PMG-756202)
- The warning message that appears when users delete contacts was stating incorrectly that SmartOffice periodically empties the Deleted Records area of the system. The message was revised to provide instructions to users about how to restore or permanently remove deleted records. (PMG-759541)
- On the contact Custom content link, when a section contained scroll bars because of a large number of custom fields, printouts of the content link were not displaying all of the fields. This issue was resolved. (PMG-765992)
- When adding a contact record from the Contact List, users were finding that the Search for an existing contact record button in the New - Contact dialog box was not working. This issue was resolved. (PMG-768407)
- Issues with merging records on the Duplicate Contact List were resolved. When the merge process was complete and the system asked whether the source contact should be deleted, clicking Yes was having no effect; the user had to close the prompt manually. In addition, the user had to refresh the Duplicate Contact List manually to update it. (PMG-770027)
- When a contact, business, advisor or agency name contained the letters "EO," SmartOffice was instead displaying the word "Compliance" when users viewed the record's information card. This issue was resolved. (PMG-772031)
- The household Detail content link was displaying help text about consolidated policy and investment data, even when the user had no policy or investment user rights and no such data was being displayed. This issue was resolved. (PMG-774179)
- An issue with custom page layouts containing groups with custom fields was resolved. The Pick Date button was disappearing from some date fields when the field order was changed. (PMG-783712)
- Issues that were preventing key relation dialog boxes from loading properly were resolved. (PMG-786644)
- Two issues with the Hide Current Contact feature were resolved:
- While viewing the results of a contact search, users who selected the Hide Current Contact command were seeing a blank dialog box that quickly closed. - An issue with posting e-mail sent from SmartOffice Pro by clicking a contact's e-mail address was resolved. The Microsoft Plug-in for SmartOffice was treating these e-mail messages as having originated from Outlook instead of SmartOffice Pro and was displaying e-mail posting confirmations accordingly. - Users who did not have the Post to Letter Log/SmartPad option selected in User Preferences were finding that the system was still posting sent letters to the Letter Log. This issue was resolved. (PMG-745596)
- An issue with resending letters from the contact Letter Log was resolved. When the letter contained run-time user input merge codes, the correspondence workflow was not prompting the user for input. Instead, the system was inserting blank spaces in place of the codes in the resent letter. (PMG-750310)
- On the contact Letters/Documents content link, users who tried to add a letter directly from the Letter Log were finding that the Correspondence Wizard was not downloading the letter configuration to complete the process. (PMG-757752)

- During the activity outcome workflow, some users who clicked the Check Participant(s) Availability button were encountering layout issues in the Scheduling dialog box that opens.
- Trying to delete participants from an activity without actually selecting any participants was causing layout issues.
- When the View Other Users' Calendars setting in User Preferences was set to No, the layout of the group scheduling screen was distorted.

- An issue with sending intra-office e-mail using Enterprise View was resolved. When prompted to select an office, users who clicked the "X" button to close the dialog box and cancel the process were being prompted to compose a message anyway. (PMG-774160)
- When users clicked a contact's e-mail address, the e-mail message window that opened was displaying extra contact information (title, suffix, middle name, greeting) in the To field. This issue was resolved in a new version of the Microsoft Plug-in for SmartOffice. (PMG-777591)

- Several issues involving correspondence templates with long names were resolved:
- In the Method step of the Correspondence Wizard, long template names in the Recent Correspondence list were not wrapping and were causing horizontal scroll bars to appear.
- In the Template Selection step of the Correspondence Wizard, the Template Selected field at the bottom was truncating long template names.
- In the Search Templates dialog box, long template names in the Recently Visited section were not wrapping and were creating extra blank space.

- When the Spouse merge code was included in a label template, generating labels based on that template for large numbers of contacts was taking a long time. This issue was resolved. (PMG-794541)

- A contact correspondence issue involving the Launch Word feature was resolved. When users created correspondence and clicked the Save & Close button in the SmartOffice tab in Word, the correspondence was not being saved to the contact's Letter Log. (PMG-800586)

Data Import/Export
- In the Data Import Wizard, the data mapping screen was displaying a small number of columns at the same time. The dialog box was adjusted to display more columns. (PMG-721451)
- When exporting a list in tab-separated format, users who chose to view the exported file in Excel were finding that the data was not appearing properly. This issue was resolved. (PMG-769432)
- When trying to export contact or advisor SmartPad records, users were finding that the export file contained column headings but no records. This issue was resolved. (PMG-773351)
- Two issues with the Data Import Wizard were resolved:
- The default date format for imported files was not reflecting the default date format selected in the user's preferences.
- On the field-mapping step, the SmartOffice database table drop-down lists were set to All Groups for fields that the wizard had automatically mapped.

- On the home page, an issue with creating dashboards from tabs containing Dynamic Reports was resolved. In some instances, when these dashboards were created in a parent office, they were not available for selection by users in child offices. (PMG-753964, PMG-762500)
- An issue that was preventing users from adjusting the height of RSS portlets on home page tabs was resolved. (PMG-783149)
- When Dynamic Reports were added to a shared home page tab and the tab was later unshared, the system was automatically privatizing those Dynamic Reports. This was producing errors for users of other shared tabs that contained those reports. This issue was resolved. (PMG-800478)
- Changing the name of a home page tab was causing the tab to be shared with the entire office. This issue was resolved. (PMG-807896)
- On home page tabs, an issue that was preventing RSS feeds from working was resolved. (PMG-809562)
PDF Reports
- On the Report Packages list, selecting multiple packages and clicking the Processed Reports Log tab was producing an error. This issue was resolved. (PMG-647912)
- After selecting the Save Settings option in the PDF report run-time options dialog box, users were finding that some settings were not being saved in their newly created report instances. In addition, the drop-down lists for some report options contained no choices. These issues were resolved. (PMG-682830)
- An error that was preventing users from printing the Detail content link of a report linked to a PDF report package was resolved. (PMG-693603)

- In activities synchronized to SmartOffice from Exchange, the system was allowing users to edit the Task option on the Activity Detail dialog box. This issue was resolved so that the Task option is now read-only for activities synchronized from Exchange. (PMG-744151)
- The full refresh/preview prompt that users see after saving changes to an Exchange sync setup was not displaying properly. In addition, the changes were being saved in the background before the user could respond to the prompt. These issue were resolved. (PMG-767831)

- An issue with the SmartPad Audit Trail feature was resolved. When a user changed a field value in a contact record, then changed the value back and saved the record, an entry noting the change was being posted to the Changes tab in the SmartPad, even though the field value was unchanged. Ability to Restore Deleted Activities
Deleted calendar activities are now stored in the Deleted Records area of the system, where users with administrator rights can restore them if necessary. To search for deleted activities, select Utilities > Deleted Records in the side menu, and then select the new Activities option on the deleted records Search dialog box.

Contacts & Businesses Tab for Advisor Records
To see which contacts and businesses have a particular advisor as their primary advisor, users can click the new Contacts & Businesses tab while viewing an advisor record.
Because the new tab is at the end of the tab row, some users may need to point to the double chevron (>>) to see it.

New Carbon Copy List Setting for Correspondence
When adding a contact to an advisor's Carbon Copy List, users can now specify that the contact should be the only recipient of regular correspondence sent to the advisor. While adding a contact, select the new Check here if the contact above is the only recipient of correspondence option.

Users can now associate a presale activity/proposal with a pending case that already exists in SmartOffice. To do so, open the presale activity record and select Menu > Link Presale Activity/Proposal to Existing Pending Case.

Hierarchy Reporting
On the advisor Cont./Appt. content link, the View Contract Hierarchy feature was enhanced to allow users to display complete, exportable hierarchies for specific advisors or supervisors for all contracts or specific contracts, with or without rates. To enable these enhancements, the following changes were made to the Contract Hierarchy dialog box:
- All selected contracts are now displayed.
- Additional tables were added so that the column layout can include commission rate and banding data.
- The command Menu > List Options > Export List was added to allow users to export the dialog box's data.

Advisor Bank Account Tracking for Automated Payments
Users can now track bank account information in advisor records to facilitate electronic payments through the Automated Clearing House (ACH) system. A new ACH content link displays this information.
A user must have the new Track ACH license enabled to view and manage bank account information for ACH payments.
A bank account record includes basic information (routing number, account number, bank verification, etc.) as well as options to include the record in reports. As part of this enhancement, several new Dynamic Report categories are now available:
- Advisor/Agency - Include ACH (Advisor/Agency report family)
- Advisor/Agency - Include Primary ACH (Advisor/Agency report family)
- Advisor Commission Check - Include ACH (Commission report family)

- Pending case benefit data for advisors: Advisors who sign in to SmartOffice using a SmartView for Advisors - SmartOffice Format account can now view pending case benefit/coverage information. - After opening an advisor license record from a list of Dynamic Report results, users who tried to add a line of business under the Selected LOB section were finding that the Life option was not available. This issue was resolved. (PMG-677139)
- When an advisor record contained contract records but no other linked records (such as policies or pending cases), deleting the advisor was opening the Advisor & Agency List. This issue was resolved. (PMG-724665)
- An error that occurred when users tried to convert presale activities into pending cases was resolved. (PMG-725168)
- When Office Security was enabled, users were able to see Advisor Statement records for advisors whose records they did not have access to. This issue was resolved. (PMG-727713)
- An issue with creating Contracting-type advisor requests was resolved. When users tried to select a supervisor contract by clicking the Supervisor Contract hyperlink, the system was displaying a message stating that the supervisor had no contract, even when contracts were set up correctly. - Several issues with advisor contracts were resolved:
- When editing an advisor contract, clicking the Supervisor Name hyperlink was not opening the Supervisor Contract List.

- An issue with merging duplicate advisor records following an advisor import was resolved. When an advisor with contracts was selected as the source record for the merge and an imported advisor was selected as the target, the contracts were not being copied to the merged record. (PMG-801445)
- When the supervisor assigned to an advisor was modified more than once, the advisor SmartPad note recording the change was displaying incorrect information in the Modified By and Modified On columns. This issue was resolved. (PMG-801919)

Expanded Policy Change Tracking (Audit Trail)
The SmartPad Audit Trail feature now tracks changes to policy record fields more comprehensively. Many fields from the policy Basic Information and Benefits content links were added to the list of tracked fields (for details, see Contacts and Businesses - SmartPad). In addition, the Policy Notes and Pending Case Notes dialog boxes now feature a Changes tab for easy tracking of these field changes.

Weighted % and Premium Fields
Weighted %/Premium fields were added to the policy Basic Information and pending case Detail content links. These fields enable policies and cases to be "weighted" so that the value of an advisor's book of business can be determined more accurately. For example, an annuity policy or case might be weighted at 5%, while a life policy or case might be weighted at 85%.
SmartOffice automatically calculates the weighted premium on new policies and pending cases based on the default weighted percentage of the linked product, which is configured on the Product Settings content link. When a policy or case is created, SmartOffice multiplies this default percentage by the commissionable annualized (Comm Annlzd) premium value to derive the weighted premium value of the policy/case.
The weighted premium fields are available as columns (Weighted Percentage and Weighted Premium) in many lists and Dynamic Reports related to commissions, policies, group policies and pending cases.
As part of this enhancement, the FYC, Renewal Comm, Prem Stop Date and List Bill # fields were repositioned. (PMG-754146, PMG-796621)

- Declined status date in policy/case lists: Policy and pending case lists can now display the most recent date on which a policy was changed to a Declined status. To see this information, add the new Declined column to those lists' column layouts. The column displays the most recent Declined status date from the policy's status history. (PMG-172238)
- New policy advisor role: A Managing Partner advisor role is now available for selection when users edit entries in the Policy Advisor List of a pending case or policy. (PMG-697570)
- Policy and PCM Custom keyboard shortcut: While viewing a policy or pending case record (or after selecting a policy or pending case in a list), users can now press ALT+C on the keyboard to quickly access the Policy Custom or PCM Custom content link. (PMG-711127)
- New expiration date fields for term life policies: Two date fields were added to the policy and pending case Benefits content link for term life policies:
- Level Premium Expiration Date: This is the expiration date for the initial level premium. It is not applicable for annual renewable term policies.
- Final Expiration Date: This is the final expiration or maturity date for the term policy, when no further premium can be paid to keep the policy inforce.

- Automatic updates for policy advisor fields: When the advisor on a policy changes—whether manually or using the Advisor Reassignment feature—the new advisor's entry in the Policy Advisor List now automatically displays the current date in the As of Date field. - New column displaying full owner names in policy lists: Policy lists and Dynamic Reports can now display policy owners' names complete with titles (Mr., Ms., etc.) using the new Owner Full Name column, which was added to the Policy and Policy Alternate tables. (PMG-734155)
- New premium payment modes: In policies and pending cases, two premium payment modes were added to the system: 3 Pay and 4 Pay. For these new modes, the annual premium and annualized premium are the same as the modal premium. (PMG-734425)
- Interested party names in reports: The Name column in the Interested Party table is now available for use in policy and pending case Dynamic Reports that provide access to that table. This column enables users to sort and filter reports by interested party contact. (PMG-748596)
- Policy contact key relation reports: A new category of Dynamic Reports named Policy Key Relations was added to the Advisor/Agency report family. These reports can pull policy contact data stored on the Advisor Key Relations content link. (PMG-750307)
- Contact columns for interested parties in reports: In Dynamic Reports belonging to the Policy and Pending Case report families, users can now include information from the contact records of interested parties. While customizing the columns of a report, users will now find the Contact table available under the Interested Party table. As part of this enhancement, the Name column of the Interested Party table was removed for these reports, as it is no longer needed. (PMG-758678)
- Policy on-access validation: The On-Access Validation feature now applies to the Policy List, Pending Case List and Group Policy List, as well as the policy, pending case and group policy Detail content links. - Two issues with policy imports were resolved:
- Company information was not being linked properly to imported insured contacts. Now, when the company exists as a business record in SmartOffice, that business is linked via the contact Company field. When the company does not exist as a business record, the name is still added to the contact Company field.
- The Source field of an insured contact record was always being set to Imported-Modifiable, regardless of the source specified in the import file. Now, when source information exists in the import file and is mapped for import, the contact source field is updated accordingly in SmartOffice. When the import file contains no source (or when source data is not mapped), SmartOffice sets the contact Source field to Imported-Modifiable.

Users who selected multiple records and selected a command intended for a single record were encountering the message "Only the highlighted record will be processed. Continue?" as expected. But when users clicked the Yes button, the workflow was ending instead of processing the highlighted record. (PMG-700994)
- An issue that was preventing the Record Merge feature from working on critical illness, dental and vision policies was resolved. (PMG-706920)
- On the Benefits content link of disability policies, the lengths of the Accident fields were too small in Internet Explorer, causing large values to appear cut off. This issue was resolved. In addition, several other similar issues affecting the Benefits/Coverage content links of other policy types were resolved. (PMG-720582)
- Users who navigated to the Policy Custom or Life Custom content link of a policy were not seeing information about the contact and policy at the top of the page. The missing information was restored. (PMG-727709)
- In the Policy Detail PDF report, the Convertible field was incorrectly displaying a No value when the corresponding database column's value was actually null. The report now displays a blank value in those instances. (PMG-739916)
- In policies and group policies, users who changed the carrier and product and then elected to rebuild the commission hierarchy were finding that the hierarchy was not being rebuilt. (PMG-748931)

- On several policy and pending case screens, the name of the insurance product was being truncated in the title, even when there was enough space to display the full name. This issue was resolved. (PMG-771592)
- An issue with creating custom page layouts for the policy Basic Information content link was resolved. Users attempting to add columns to a custom group were finding that the Value As Of, Paid to Date and Processing Type columns were not appearing in column search results. (PMG-773740)
- When users sent e-mail mass correspondence from a policy or pending case list, two issues related to the Carbon Copy List feature were occurring:
- The primary advisor's carbon copy recipients were not receiving the message when the office's settings were configured to send correspondence through Outlook/Lotus Notes.
- When the Check here if the contact above is the only recipient of correspondence option was selected for a contact in the carbon copy settings, SmartOffice was inserting those contacts in the CC field of the message instead of the To field.
These issue were resolved. (PMG-775001)
- The Policy Detail PDF report was not displaying rider information for LTC-type policies. This issue was resolved. (PMG-775588)
- After importing riders, users were finding that the hierarchy was not being automatically built and commissions were not being automatically projected, even when the riders had valid rates defined. This issue was resolved. (PMG-785155)
- Several issues with updating primary advisor information in policies were resolved:
- In the Policy Advisor List, users who opened the existing primary advisor entry, deleted the current advisor's name, reselected the same advisor and saved the record were finding that SmartOffice was creating an "Old - Primary Advisor" entry for the current advisor.
- During policy import, when the user selected the Advisor and Insured options under "Add as contacts if not already existing," the import process was adding the commission hierarchy twice. In addition, SmartOffice was creating an "Old - Primary Advisor" entry for the current advisor.
- When the primary advisor on a policy was updated through policy import, the contract information was not being updated with the new advisor's contract, and SmartOffice was showing the old commission hierarchy.

- An issue with the Create New Applicant option during the policy creation process was resolved. After entering carrier and plan information but no primary contact, users who clicked the Next button were being prompted incorrectly to enter carrier and product information. - On the Policy Transactions content link of a policy, an issue with creating commissionable premium payment transactions was resolved. When a user left the mandatory Premium field blank and clicked the Gen Comm. or Gen Posting button, SmartOffice was displaying a message stating, "Your action cannot be completed." The system now prompts the user to provide the missing information instead. (PMG-788866)
- The following advisor fields were not being imported into SmartOffice during policy imports: Expire Date, Hierarchy Locked, Interest, Remarks. This issue was resolved. (PMG-789187)
- Issues with the Policy Add and Pending Case Add dialog boxes were resolved. When contacts were cleared from the Interested Parties section, the system was not clearing their gender information, and the Last Name and First Name fields were becoming read-only. (PMG-791875)
- In policy lists, spacing and wrapping issues with LTC-specific column headings (e.g., Max Daily Benefit, Max Monthly Benefit) were resolved. (PMG-795721)
- In the setup dialog box for policy and pending case e-mail correspondence, the Send form letter as E-mail body and Send form letter as E-mail attachment option labels were misaligned. This issue was resolved. (PMG-796870)

- When creating a group insurance product record, users who added an entry to the record's Group Product Options section were finding that the entry was disappearing once the record was saved. - An issue that users encountered while trying to copy carrier underwriting guidelines was resolved. After selecting an option that should be different in the new guideline (Class, Gender or Province), users who clicked the Cancel button in the next dialog box were finding the system was canceling the entire copy workflow. - On the carrier Misc Information content link, users who tried to export route information for a GA ID List entry were finding that the Route Data Synchronization dialog box was not opening completely. This issue was resolved. (PMG-805415)

- An issue was resolved with copying products linked to rates that have product options. Ability to Copy Requirements to Other Cases
Users can now copy underwriting, delivery and policy owner service requirements from one policy or pending case to another using a simple command. While viewing a list of requirements, select one or more requirements, click the Options button , and then select Copy Requirement. When prompted, search for and select the destination policy or case.
The copied requirements retain certain information from the originals (e.g., remarks, status, required of, follow-up date), but SmartOffice automatically updates information such as the policy number and insured contact to match the destination record. (PMG-576329)
Improved Insured Search for New Pending Cases
Specifying an insured and a risk class in a new pending case in now easier. On the Pending Case Add Detail dialog box, the Insured-1 section was redesigned to include a Primary Insured hyperlink and a Risk Class hyperlink. Clicking either hyperlink opens a standard SmartOffice search dialog box.

- More flexible visibility options for requirement workflows: In the dialog box for setting up Quick Receipt requirement workflows, the Visible to Advisors field is now a drop-down list containing blank, Yes and No choices (previously, it was a check box). When the field is left blank, the workflow will not alter the existing Visible to Advisors setting on a requirement. (PMG-784396)
- Requirement notes preserved in formalized child cases: For informal applications, any notes associated with requirements shared from a parent case to a child case now appear in the pending case created after the child case is formalized. (PMG-788097)
- Improved control over case status rights: Administrators now have finer control over how users can send case status reports. On the user account User Rights content link, the Case Status Reports user right was removed, and the following licenses were added to replace it:
- Side menu case status (mass send): Enables the Insurance > Case Status command in the side menu. This command is the only method through which a user can send case status reports to all advisors in the office at once.
- Button case status (selective send): Enables the Menu > Case Status command on advisor, agency, policy, group policy and pending case lists. This command enables the sending of case status reports only for the selected records.
Note that users who have the Side menu case status (mass send) license automatically receive the Button case status (selective send) license. Disabling both licenses completely removes a user's access to case status features. (PMG-791223)

- Two issues with the validation of advisor continuing education credits during pending case creation were resolved:
- The system was not considering the Date From and Date To fields of continuing education records.
- When an advisor had a continuing education record applicable to all provinces and another record applicable to a specific province, users creating a case for that specific province were being prompted to create an advisor request for continuing education credits, even when there were no outstanding credits.

- Uses were encountering an error when they tried to add an Inspection Report-type requirement.

- Users were encountering several layout issue when trying to view the details of a requirement, including hidden buttons, overlapping sections and improperly sized fields.

- An issue with the advisor appointment/contract/license/compliance check that occurs after pending case creation was resolved. The issue occurred when users opted to create advisor requests to resolve outstanding issues. The system was not informing these users that no agency manager was found for the licensing request, even when none were configured under Licensing/Contracting Setup > Establish Licensing/Contract Managers in Policy/Case Setup. - In the Pending Case Add dialog box, the default value of the Insurance Type field was always Life, even when a different default type was configured in Policy/Case Setup > PCM Workflows > PCM Add Setup. This issue was resolved. (PMG-788525)

Ability to Set Product Options at the Office Level
The product options feature, which allows users to accommodate multiple commission structures for the same insurance product, was improved. Now, administrators define product options at the office level using the new Product Options section in Policy/Case Setup (previously, these options were defined at the individual product level). The options are then available for selection across all products. For more information, see Policy/Case Setup - Product Options.
As part of this enhancement, the Copy Commission Rates feature was enhanced to include product options as well. (PMG-744178)
Ability to Copy Commission Rate Bands
While editing multiple commission rates at once, users can now copy specific commission rate bands (previously, users were able to copy entire rates only). To access this feature, select Menu > Copy Band in the Edit Commission Rates dialog box.

- Default commission tracking setting for rider products: Users can now specify a default commission tracking setting for riders at the product level. A Track Commission option was added to the Rider Settings content link of rider products. - New policy commissions reports: A new report category called Policy – Include Commissions was added to the Commission family of Dynamic Reports. This new category allows users to display policies that have commissions and those with no commissions in a single report. (PMG-682716)
- Improvements for editing multiple rates at once: The Edit Commission Rates feature that allows user to edit multiple commission rates using a spreadsheet-style list was enhanced as follows:
- The Age From, Age Through, Face From, Face Through, Options and Province columns are now editable.
- The Dollar Percentages column was renamed Commission Amount.
As part of this enhancement, two issue were also resolved:
- When the list layout was customized to add the Cumulative column from the Commission Rate table, users who changed data in any customized column were finding that those changes were not being saved.
- After adding a large number of columns to the list layout, users were finding that the horizontal scroll bar no longer worked and many columns were no longer visible.

- When a policy with the Single Pay premium mode contained a rider with a different premium mode, the following issues were occurring:

- Two issues with the Modified On and Modified By columns in the commission system were resolved:
- On the carrier posting Detail content link, when a commission transaction was reconciled using the Write Off the Difference option, the columns were not being updated.
- On the speed receipt Detail content link, the columns were not available for addition to the Commission Data list. The columns are now available in the Manual Commission Transactions table.

- Users who clicked the Carrier Contract or House Contract hyperlink were finding that the command to add a contract was missing from the Advisor Contract List dialog box.

- Adding an advisor contract from Advisor Contract List and clicking the OK button was opening a blank tab.

- When users manually added rider commissions to the system, SmartOffice was not checking the rider expiration date and was adding commissions for expired riders in some instances. This issue was resolved. (PMG-736461)
- An issue with commission calculations involving rates that use the Premium Banding option was resolved. The last Base transaction just before Excess commission was not taking the calculated premium and Target amount into consideration. (PMG-742704)
- An issue with the Edit Multiple Records feature for commission transactions was resolved. The issue occurred when the last column in the editable list was a date column. When users added a row, entered the date in the last column of that row and then pressed TAB to create another row, the cursor was not appearing in the first column of the new row. (PMG-742971)
- Users who tried to mass modify commission rates were being presented with a blank list of available columns/fields to modify. This issue was resolved. (PMG-743895)
- When checking the status of a mass commission projection job in the Job Queue, users were finding that the Note section of the job detail page had an unnecessary horizontal scroll bar. This issue was resolved. (PMG-747147)
- An issue that was preventing users from mass modifying the Cumulative, Flat Amount and Paid Mode fields of commission transaction records in certain lists was resolved. (PMG-754546)
- A commission calculation error was occurring with rate setups in which house rates were available for renewal years and advisor/supervisor rates were available only for the first year. In this scenario, when users entered a target amount that was greater than the commissionable annualized premium (resulting in zero excess premium), the system was calculating commission only up to the target premium value with an excess commission. This issue was resolved so that the system now calculates commission for all renewal years as per the date entered. (PMG-752859)
- Users were encountering an issue with expected commission transactions that were generated based on future premium payment data. When a user changed the modal premium of one of these transactions and then recalculated commission, the system was creating a duplicate of the transaction as well as duplicate commission payable records. This issue was resolved. (PMG-753450)
- An issue with recalculating commissions with Enterprise View turned on was resolved. The issue occurred when the user selected the Calculate Commission command for a parent-office policy and selected the Recalculate option. The Expected Commission List was opening as expected, but the list was also displaying commission transactions from any child-office policies that had the same holding ID. (PMG-755165)
- When manually adding a rider commission to a policy, users were receiving an error if the linked product had one of the following Accumulate Prem Comp settings:
- Base + Rider
- Base + Rider + Flat Extra
- Base + Rider + Flat Extra + LumpSum

- The system was not considering manually entered gross or net commission amounts when calculating commissions for riders. This issue was resolved. (PMG-757016)
- The system was calculating commission with excess banding in rates based on a policy's excess premium, with the times target defined in rates being used only until the excess premium was reached. This issue was resolved so that calculation of excess commission now continues until the times target is reached. (PMG-761093)
- In some instances, when the paid mode on a House rate was As Paid with Months Advance, SmartOffice was calculating an incorrect number of base and excess commission payable records. This issue was resolved. (PMG-763038)
- A commission calculation issue was occurring in some instances when the supervisor was at level 3 of the hierarchy and was receiving a percentage of Net GA. This issue was resolved. (PMG-763038)
- An issue with the Mass Assign Contract feature was resolved. The Contract Information dialog box that opened after the user selected a carrier was not displaying the Assign Comm To field and the Selected LOB section. (PMG-764288)
- On the Agent Contract Editable List, adding certain columns to the list layout was causing unexpected messages and errors to appear when users tried to save any changes to the list. This issue was resolved. (PMG-767571)
- From the Advisor Payment List (Commission Utilities > Advisor Payments), users who selected the Generate Advisor Out-of-Batch-Cycle Commission Check command were encountering some layout issues when the General Information dialog box opened. This issue was resolved. (PMG-767845)
- When editing multiple commission rates at once using the Edit Commission Rates command, users who made changes to the Cumulative, Flat Amount, Paid Mode and Paid By columns were finding that their changes were not being saved. The issue occurred because these columns cannot be edited from the Edit Commission Rates dialog box. To prevent confusion, the values in these columns now appear as read-only. (PMG-769732)
- When a policy's premium mode was Single Pay and the house commission rate's paid mode was As Paid with Months Advance, the system was calculating commission incorrectly. This issue was resolved. (PMG-770580)
- Layout issues that were causing buttons to be cut off in several pending case and commission dialog boxes were resolved. (PMG-773546)
- When a user changed the non-primary advisor or contract on a policy, the system was not automatically updating the commission hierarchy. This issue was resolved. (PMG-786455)
- While editing rates using the Edit Commission Rates command, users who sorted on the Options column were encountering an error. This issue was resolved. (PMG-786796)
- On the Commission Rates List, selecting a rider rate and then selecting the Menu > Related Policies command was displaying no records, even when the rate was linked to one or more policies. In addition, when users selected multiple rates from the list before selecting the same command, the system was opening multiple dialog boxes instead of notifying the user that information for only one record could be displayed. - A commission calculation issue was occurring when the house rate's paid mode was As Paid with Months Advance and the advisor and supervisor rates were set to the Annualized First Year Only paid mode. When the commission hierarchy on the policy was changed and commissions were recalculated, the system was generating an incorrect number of advisor commission records. This issue was resolved. - While viewing an agency contract, users who tried to view the contract hierarchy were encountering an error. This issue was resolved. (PMG-789316)
- In Commission-family Dynamic reports, several columns belonging to the Pending Case table were not displaying data. This issue was resolved. (PMG-792674)
- The sizes of the Edit Commission Rates dialog box and the Commission Bands section of the commission rate Detail content were expanded to display more rows and columns. (PMG-792847)
- When a user entered a rider commission manually, the system was setting the commission year based on the policy date and not the rider effective date. This was causing incorrect commission calculations. The issue was resolved. (PMG-793195)
- When multiple commission bands existed for different product options on commission rates, the system was selecting the first-added rates on policies, ignoring rate expiration dates. This issue was resolved so that the system now selects active rates by default. (PMG-795484)
- An issue was occurring when the expiration date on an advisor contract was changed to a past date. When the user saved the change and reopened the record, the expiration date was blank, and the status was not Expired. This issue was resolved. (PMG-796300)
- An issue with premium banding commission rates on group policies was resolved. When users reconciled/processed first-year and several renewal-year commissions and then recalculated commissions, the banding for advisor commissions payable were starting over, i.e., the commissions payable from the first open commission record had the percentage from the first band. - Two issues related to held commissions were resolved:
- The Recheck Advisor for Lic/Cont/Appt command was not available for any commission transaction with a status of Reconciled (SRE) - Advisor Transaction on Hold, Waived (SRE) - Advisor Transaction on Hold or Waived - Advisor Transaction on Hold.
- In the Search Carrier Postings dialog box, the Reconciled - Advisor Transaction on Hold option was missing from the Status drop-down list.

- Two issues with applying an advanced commission split to a policy were resolved:
- The Commission Split Hierarchy Details dialog box was missing the command for customizing the list layout.
- When users viewed the basic schedule information for advisor roles not specified on the policy, only the Base and Trail rate information was displayed, even when additional rates were configured in Commissions Setup.

- An issue with removing advisors from policies was resolved. When the advisor contract specified that the commission be assigned to another advisor, SmartOffice was not informing the user that the advisor could not be deleted (advisors with linked commission payable records for a policy cannot be deleted). Instead, SmartOffice was removing the advisor and the commission payable records. (PMG-809311)
- An issue affecting pending cases with future premium payment entries and a Single Pay premium mode was resolved. In some instances, when a user tried to calculate excess commission from a commissionable policy transaction, SmartOffice was calculating a Base-type commission transaction for all years added in the future premium instead of a single Excess-type commission transaction. (PMG-811213)
- An issue that occurred when an agency had multiple active contracts was resolved. When a user rebuilt the commission hierarchy and selected a contract, the system was not automatically selecting the appropriate commission rate in some instances. This issue was resolved. (PMG-815345)
Batch Processing
- An issue with commission batches linked to certain carrier postings was resolved. The issue occurred when a carrier posting was linked to a system- carrier and the batch's Carrier Posting List included the Carrier Name column. When users clicked a carrier name, the carrier Detail content link was displaying errors in the Phone Numbers and Addresses sections. (PMG-770054)
- When attempting to post a processed commission batch that had the Job Queue option selected, users who clicked the Yes button on the confirmation message were seeing a blank dialog box. This issue was resolved. (PMG-787833)
- Users who opened the Advisor Checks Under the Minimum Check Amount dialog box from a batch record were finding that the commands for generating e-mail and PDF commission statements for advisors were not working. This issue was resolved. (PMG-800904)
- An issue was occurring when a commission batch with no linked carrier postings was processed with the Include Adjustment Commission Entries option. When the user reviewed the Advisor Checks Under the Minimum Check Amount dialog box, entries from other offices were appearing. This issue was resolved. (PMG-807877)
- When selecting options to generate an advisor commission report from a batch, users were finding that the List Title field was displaying a value of "Advisor Payment List" by default. Users who normally do not specify a title were being forced to delete this value manually. The field is now blank by default. (PMG-811699)
- An issue with advisor commission reports generated from commission batches was resolved. The PDF report was displaying the advisor's commission statement address without a postal code when the address was not also marked as the advisor's preferred address. (PMG-814864)
Carrier Posting
- An issue with managing advisor transaction postings was resolved. While viewing a posting with a status of Ready To Process or Open with Enterprise View turned off, users who tried to link commission transactions to the posting were able to select transactions from child offices. (PMG-698427)
- On the Carrier Posting List, users who applied a filter to the Posted On date column were finding that records with a "Speed Receipt Entry" status, such as Open (Speed Receipt Entry) and Reconciled (Speed Receipt Entry), were not appearing. This issue was resolved. (PMG-735594)
- When the Last Name column was added to the Carrier Posting List, clicking the heading for that column was causing records to disappear from the list. This issue was resolved. (PMG-745021)
- In carrier posting records, an issue with reconciling multiple commission transactions at once was resolved. The issue affected transactions with a status of Open (Speed Receipt Entry). When a user reconciled the records using the Create a Balance Due/Excess Pay Record or Modify Advisor Commissions option, the Sys Paid-to dates on the linked policies were not being updated correctly. (PMG-746907)
- In carrier posting records, users were encountering an error when they updated the modal premium in a commission transaction record and then tried to recalculate the commission. This issue was resolved. (PMG-749360)
- A carrier posting issue affecting users who do not have the Administrative Database Maintenance user right was resolved. When these users reconciled a commission transaction using the Create a Balance Due/Excess Pay Record or Modify Advisor Commissions option, the resulting transaction's Type field was blank. - When Enterprise View was turned on, the following Carrier Posting issues were occurring:
- The system was keeping payments to child-office advisors on hold due to licensing issues, even after the user updated the advisor's license information and rechecked for licensing.
- Carrier posting records linked to a child-office advisor were being placed in a hold status when reconciled.
These issues were resolved. (PMG-763490)
- Users who deleted a reconciled carrier posting, reset the transaction in Speed Receipts and accepted the transaction as an adjustment were encountering an error. This issue was resolved. (PMG-772811)
- An issue that was causing incorrect Posted On dates to appear on carrier postings was resolved. (PMG-786073)
- Adjustment entries created in Carrier Posting through auto-reconciliation were not appearing in Agency Commission-category Dynamic Reports. This issue was resolved. (PMG-788672)
- On the carrier posting Detail content link, the Re-Project Commission command was not working. This issue was resolved. (PMG-789686)
- In carrier posting records, users who selected the Set Status Close command for a commission transaction record whose status was Open (Speed Receipt Entry) were encountering an issue. The confirmation message explaining that the any linked speed receipt entries will be invalidated contained a typo and was missing the Yes and No buttons. These issue were resolved. (PMG-791021)
- An error that users were encountering when running Carrier Posting-category Dynamic Reports was resolved. (PMG-792382)
Speed Receipts
- In speed receipt records, certain actions performed on non-validated commission transactions were causing issues:
- When users tried to link a transaction to an existing carrier posting, the system was displaying two carrier posting search dialog boxes.
- The message asking the user whether the transactions should be validated was not appearing when expected or was appearing more than once. In addition, the subsequent message confirming the transaction's validation was not appearing.
These issues were resolved. (PMG-741456)
- In the Commission Data list of a speed receipt record, users who selected multiple commissions that were missing contract or rate information were encountering an issue when using the Calculate Commission command. An error message gave the user the option of viewing the error log, but clicking the Yes button was not displaying the log. (PMG-748891)
- For group policies, an issue that occurred when SmartOffice calculated commissions with negative amounts from Speed Receipts was resolved. When the house rate was configured with Number of Members banding and the advisor/supervisor rate had a paid mode of As Paid with a percentage of base commission, the system was creating commission payable records only for the house. (PMG-773920)
- In speed receipt records, the system was not updating the Total Transaction Amount field when the commission amount of any transaction was changed. This issue was resolved. (PMG-802595)

Featured Enhancements
Improved Investment Account Search
In the Search Accounts dialog box, entering a number in the Account # field now returns records containing that number anywhere in the field. For example, a search for 12345 now returns accounts with numbers like 00012345 and 01234567. Previously, searches were returning only those accounts whose numbers started with the number entered. (PMG-595465)
New Liabilities Column
An All Liabilities column is now available in the Contact, Investment Accounts and Investment Position tables. This column displays a consolidated listing of all liabilities linked to a contact, account or position. This enhancement also resolves an issue that was causing duplicate records to appear in lists containing columns from the Liability table. (PMG-719771)

Investment Accounts
- Mass modification of remarks: When mass modifying investment accounts or positions, users can now modify the Remarks field. (PMG-600712)
- Column showing source of interested party/advisor data: In investment account records, users can now customize the Interested Parties and Advisor Relationships lists to show where interested party and advisor data came from (manually entered, electronically downloaded, etc.). To do so, users with the appropriate rights can add the Source of Data column from the Contact Investment Account table to these lists. (PMG-731257)
- New interested party roles: SmartOffice now has two additional system choices for account interested party roles: Trusted Contact Person and Other. These roles can be assigned to any contact entered in the Interested Parties list on the account Detail content link. (PMG-800069)
- Improved page layout control for investment accounts: After opening an account record from the contact Investment Accounts tab, users who select the Page Layout command can now add Dynamic Report portlets to the layout. (PMG-801925)
Investment Positions
- Improved transaction entry: The workflow for entering position transactions throughout the system was revised to make it faster. The OK button on the Investment Transaction dialog box has been replaced by two new buttons:
- Save: Use this button to save the new transaction without causing the position list to refresh; this button is useful for adding multiple transactions quickly.
- Save & Validate: Use this button to save the new transaction and refresh the position list to view up-to-date values for all positions.

- Improved position list filtering: Several enhancements were made to the contact Investment Positions tab:
- SmartOffice now remembers the choice selected from the Role drop-down list. When the user navigates away from the tab and then navigates back, the same choice is selected.
- Custom account interested party roles now appear as choices in the Role drop-down list.
As part of this enhancement, the Role drop-down list was also added to the advisor Investment Positions tab. (PMG-783560)
Investment Reports
- Improved account summary for households: A Sort by Household Members option was added to the Summary of Accounts PDF report. When run at the household level using this new option, the report now combines all holdings in the household into a single report that is sorted, grouped and subtotaled by household member. General
- The Investment Ticker feature on the home page was displaying errors because the service that provided pricing data for the feature was recently discontinued. The ticker has been removed from SmartOffice Pro while Ebix looks for a new pricing data source. (PMG-748952)

- The Asset Allocation Exception Report was displaying investment accounts that had no asset allocation specified. This issue was resolved. (PMG-764806)
Investment Accounts
- When a contact was listed as an interested party in an investment account with a role of Owner, account positions were not appearing in the contact's Investment Positions tab if the account's primary contact was different. This issue was resolved. (PMG-620450)
- An issue affecting contacts linked to investment accounts as co-owners was resolved. On the contact's Investment Accounts tab, the page title was displaying the name of the primary contact of the first account in the list. (PMG-625436)
- After customizing the page layout of the Account Detail content link of an investment account record, users were finding that the changes were not being applied to the Account Detail content link of investment position records. This issue was resolved. (PMG-627453)
- When a user tried to create an investment account using an existing account number, the hyperlink in the error message that points to the existing account was not working properly. This issue was resolved. (PMG-655369)
- An issue that occurred when users navigated to the Investment Accounts tab of a contact was resolved. When the user uploaded a document to the Letters/Documents content link of an investment account, refreshed the page and then clicked the Contact tab, SmartOffice was displaying an error. - An issue with adding an interested party to an investment account was resolved. Users were finding that certain roles were not selectable in the Account Role drop-down list, even though the roles were appearing in the drop-down choice customization dialog box. - On the contact Investment Accounts tab, selecting an option other than All from the Type drop-down list was not displaying any records. This issue was resolved. (PMG-726416)
- On the investment Account Detail content link, some custom fields in the Miscellaneous Information section were inaccessible to users who did not have the Custom Fields - Field Name Modification user right. This issue was resolved. (PMG-734648)
- An issue with the Link Account to Contact command was resolved. When the contact had no linked primary advisor, SmartOffice was improperly creating a null advisor entry for the account in the database that was not visible in the account's Advisor Relationships list. - An issue that was preventing users from restoring deleted investment accounts from the Deleted Records area was resolved. (PMG-760909)
- When an advisor was assigned multiple roles in an investment account, the advisor's Investment Positions tab was displaying multiple entries for the same position. This issue was resolved. (PMG-763872)
- When a deleted investment account was restored, SmartOffice was not considering the account during validation. As a result, the account was not being reflected in the investment values that appear on the contact Benefits content link and the household Detail content link. This issue was resolved. (PMG-767512)
- When a contact was listed as an interested party on an investment account, the account's positions were appearing in the contact's Investment Positions tab regardless of the contact's role. The positions now appear only for the account's primary contact. (PMG-779211)

- When an advisor was linked to an investment account with a role of Reassigned or Other, the advisor's name was appearing in the All Interested Parties column instead of the All Advisors column on account and position lists. This issue was resolved. (PMG-789905)

Investment Positions
- Users who tried to liquidate an Active-status position with a negative share value were encountering an error stating that the position had already been liquidated. To resolve this issue, SmartOffice now creates a Buy transaction whose share value is a negative position share balance. In addition, the error message now appears only when the position's status is Liquidated, regardless of whether the share value is negative. (PMG-267590)
- When an advisor was linked to an investment account with a role other than Primary Advisor, the advisor's Investment Positions tab was not displaying positions for that account. This issue was resolved. (PMG-621784)
- The Investments > Link Position to Account command was removed from the side menu, as it is no longer needed in SmartOffice Pro. As part of this enhancement, the Show Link Accounts/Positions side menu user license was renamed Show Link Accounts side menu. (PMG-646083)
- In Office Settings, an issue with the Changes to Investment Position option on the SmartPad/New Contact/E-mail Posting content link was resolved. The system was not automatically posting SmartPad entries when positions relinked to other accounts were modified. (PMG-681125)

On the Position Detail content link, clicking the Symbol/Security ID (CUSIP) hyperlink was opening a dialog box listing existing securities, but the command for creating a security was missing. - After creating a contact, users who ran the Investment Position Summary PDF report for that contact were encountering an error. The error was occurring when the Exclude Positions with Negative Share Balance report option was selected. This issue was resolved. (PMG-733927)
- An issue with the Date Options drop-down list in the report options dialog box for Performance-category PDF reports was resolved. Selecting any choice except Custom was properly filling in the From and Through date fields, but when users changed the option to Custom and then changed it again to another date option, the date fields were not being filled in. - Pie charts were displaying incorrectly in PDF reports when there was one investment position record whose current value contained a decimal. This issue was resolved. (PMG-752797)

- An issue with customizing the page layout of the contact Personal content link was resolved. When an investment Account-category Dynamic Report was added to the layout, users were encountering an error when navigating to the page. (PMG-788992)
- When running Performance-category PDF reports, users who selected the Save Settings option were finding that sorting options were not being saved. This issue was resolved. (PMG-791681)

- An issue with the Investment Performance Summary report was resolved. The Value on \[date\] field was displaying a value of "N/A" in some instances, even when that data was available in the system. (PMG-807463)
Investment Securities
- Users who tried to retrieve security prices for a date range using the Internet Quote Service were seeing a message stating that no prices were available for that range. This issue was due to Yahoo's decision to discontinue its security price update service. Ebix is currently looking for an alternative provider of security price data for SmartOffice. - When creating a security record from the Position Detail content link, users were finding that the fields were too small. The width of the dialog box was increased to make all of the fields wider. (PMG-760820)

Liabilities
- When a list's available columns all belonged to the Liability table, adding the All Interested Parties with Percent column to the layout was producing an error every time the list was accessed. This issue was resolved. (PMG-720751)

- An issue with SmartView for Clients document sharing was resolved. Sharing a document from the Letters/Documents content link of a record was not working when the document was an e-mail attachment. (PMG-759646)

- Option to enable or disable Constant Contact e-mail posting: Users of SmartOffice's integration with Constant Contact can now control whether Constant Contact e-mail messages are automatically posted to the SmartPad. In Office Settings, on the SmartPad/New Contact/E-mail Posting content link, users will now find a Constant Contact option under SmartPad Posting Options. Select this option to enable posting of Constant Contact e-mails to the SmartPad, or clear the option to disable posting. (PMG-727582)
- More group policy properties exposed: The number of group policy properties exposed to developers through SmartIntegrator has been greatly expanded. - Phaseout of TLS 1.0 support: Ebix has upgraded the SmartXchange proxy to require Transport Layer Security (TLS) protocol version 1.1 or 1.2. SmartOffice encourages developer partners who send and receive requests through SmartXchange to modify their applications to use TLS 1.1 or 1.2.

Customizable Mobile Navigation Menu
On mobile devices, users can now choose the buttons that appear on the SmartOffice Anywhere navigation menu. To access these settings, tap More on the navigation menu and select Settings. Then tap the edit button at the top to display the available options.
The screen shows you how your existing navigation menu looks, along with all available buttons. Tap a button that you want to remove from your menu, and then tap the button you want to replace it with.
Note: The mobile navigation menu can also be customized from SmartOffice Pro; go to the Basic Info content link in User Preferences and look for the new Mobile Navigation Menu Options section. (PMG-795312)
Streamlined Screen for Adding Contacts
The screen for adding contacts on mobile devices now contains only the most essential fields for a better user experience. The new screen minimizes scrolling and makes contact entry more efficient.
Once a new contact is saved, the user can edit the contact normally to access additional fields. (PMG-811883)
Improved Opportunity Screens for Mobile Users
SmartOffice Anywhere opportunity screens on mobile devices have been redesigned to help users manage opportunities more effectively:
- Opportunities List: The list layout now makes more efficient use of screen space and features a new filter/sorting button. Buttons for quickly calling the contact linked to each opportunity are also included. In addition, when the Opportunities List is open, the search bar at the top of the screen changes from a contact search to an opportunity search.
- Opportunity detail screen: The detail screen has also been redesigned to make more efficient use of screen space. The top portion displays the contact name, e-mail, phone, opportunity name, opportunity stage, potential revenue, and estimated close date. The bottom portion displays a list of activities linked to the opportunity, with buttons for creating activities, recording activity outcomes and calling the contact. Swiping left on the activity list displays the opportunity notes list, where users can quickly view, create and search for notes.
- Opportunity creation screen: This is now a single screen with fields for entering all relevant opportunity details. Previously, users had to step through a wizard to create an opportunity.

Ability to View Other Users' Opportunities
SmartOffice Anywhere users on mobile devices can now view the opportunities of other users in the office with whom they have proxy relationships. Tap the new button at the top of the Opportunity List and specify one or more users.

- Default sign-in location for mobile: The default sign-in location can now be configured differently for SmartOffice Anywhere sign-ins on mobile versus desktop devices. On a mobile device, tap the More button in the navigation menu, tap Settings, and then scroll down to the Default location at sign-in (mobile) field to select a choice.
