Note: SmartOffice Mobile for Palm
and Pocket PC has been discontinued. This information is made available
for existing users of these products. Our current solution for all
devices is SmartOffice Anywhere.
SmartOffice Mobile for Palm and Pocket PC is designed to meet the needs
of the traveling user who needs access to contact information when in
the field. Contact, business, investment, policy and activity information
is synchronized with the Personal Digital Assistant (PDA).

Note:
SmartOffice Mobile must be enabled for the user in the office that
needs to use it. It first needs to be installed by selecting Installations from the expanded
Setup menu and then clicking
the SmartOffice PDA for Palm and
Pocket PC option. A synchronization then needs to be performed
before proceeding.

On
the PDA, select E-Z Mobile
from the Main category.

Enter
the Office Name and User Name and then select Done.

From
the Synchronization Options screen, select the appropriate Type
of Synchronization option.

Enter
the Mobilink Server or Host name and then tap Done.

Perform
a synchronization operation.

Hardware
and Software Requirements

Workstation
hardware as required by the manufacturer of the Palm OS® device.

MB of free space on the hard disk drive for the installation of
the Palm™
Desktop software.

Windows
98, Windows Me, Windows NT, Windows 2000, or Windows XP operating system.

Palm
OS® device running Palm OS® 3.5 or higher with a 20 MHz Motorola
Dragonball-VZ processor.
-
Palm
OS® with a minimum of 8 MB of RAM installed and 3 MB of RAM available
on the device.
-
Palm™ Desktop software, or licensee
branded software, version 3.1.0 or higher installed, version 4.0.1
recommended.
-
Proper
connectivity between the Palm OS® device and the workstation computer.
-
A
33mhz or faster wired modem or a wireless modem, which receives
an assigned IP address.
Configuration Requirements
-
MobiLink server available on a computer with
an IP address accessible through the
Internet and Port 2439 open through the corporate firewall.
-
ODBC
connection between the computer where the MobiLink server resides
and the database server.
-
Office
Settings - Licenses available in the office.
-
User
Management - Base User enabled and E-Z Mobile for Palm OS® enabled
per User.
Note:
Additional
roles enabled in SmartOffice® are also available in E-Z Mobile for
PDA (i.e., Investment User, Policy User, etc.)

Download
and install the E-Z Mobile for PDA program.
-

Workstation
computer can ping the IP address of the server where the MobiLink
server application is installed.

the SmartOffice Mobile for PDA Synchronization Setup Wizard](javascript:TextPopup(this))
During synchronization, SmartMobile for PDA records take precedence
over the records in SmartOffice. For example, if the same field in
the same record has been modified in both SmartOffice and SmartOffice
Mobile for PDA, then the E-Z Mobile for PDA field will overwrite the
SmartOffice information.
In order to eliminate the possibility of overwriting other users'
changes, SmartPad records that have been synchronized with SmartOffice
can be viewed but not modified in E-Z Mobile for PDA.

Select
PDA Setup from the expanded
Setup menu to open the
PDA - Synchronization Setup Wizard.
-
Click
the Next button to open
the Contact Selection dialog box.
-
Select
the appropriate Contact Selection option and then click the Next button. Either all contacts,
or a specific group of contacts based on a filter or a set, can
be downloaded to the PDA.
-
Enter
the Activity Type and Activity Date Range information and then
click the Next button.
Note:
Next "x" days is the current date plus "x"
number of days in the future. Previous
"x" days specifies
the days in the past for which the activities will continue to synchronize
changes between SmartOffice and the PDA.

Select
the number of SmartPad entries to download per Contact and then
click the Next button.

Review
the Download Description and then click the Finish
button.
Note:
Once the Download Description is defined, it is not necessary to access
the wizard for future synchronizations. Only if the download criteria
needs to be modified does it become necessary to modify the selections
in the wizard.

From the main SmartOffice
Mobile screen, tap the SmartOffice
Mobile tab to access Options.

Select Contact
and then tap Find.

Tap New
and then enter the Contact information.

Tap Phone
and then tap New.
-
Enter the Phone information
and then tap Done.

Tap Done
again to return to the Contact View.
-
Tap Details
and then enter the Contact Personal information.

Tap Done
to return to Contacts.

Tap Done again to return to
the main SmartOffice Mobile screen.

Add an Activity from the Main Menu](javascript:TextPopup(this))

From the main SmartOffice
Mobile screen, tap the SmartOffice
Mobile tab to access Options.

Select Calendar
and then tap New.
-
Tap Go
To to change the Activity from
the current date.

Tap Contact
and then tap Find to list
all Contacts.

Select the Contact
associated with the activity and then tap Done.

Tap Time
to enter the Start Time
and End Time of the Activity
and then tap OK.
Note: The time fields can be left blank for an un-timed
activity.

Enter the Activity
information and then tap Done.

Access Modules
by tapping the Contact View
tab.

Select Activity
Log to display a list of all Activities for the current
Contact.

Tap New
and then tap Go To to change the Activity from the current date.

Tap Time
to enter the Start Time
and End Time of the Activity
and then tap OK.
Note: The time fields can be left blank for an un-timed
activity.

Enter the Activity
information and then tap Done.

From the main SmartOffice
Mobile screen, tap the SmartOffice
Mobile tab to access Options.

Select Contact
and then tap Find to display
a list of all Contacts.

Select the Contact
record associated with the SmartPad entry.

Tap Contact
View to access Modules.

Select SmartPad
and then tap New.
-
Enter the SmartPad
information and then tap Done.

Tap Done
again to return to the Contact View screen.
Note: SmartPad notes can also be created from the Policies
and Investments screens.

Select Form Letters for Printing](javascript:TextPopup(this))

From the main SmartOffice
Mobile screen, tap the SmartOffice
Mobile tab to access Options.

Select Contact
and then tap Find to display
a list of all Contacts.

Select the Contact
record associated with the form letter.

Tap Contact
View to access Modules.

Select Form
Letters and then select the form letter to be added to
the Job Queue.

Tap Done and then tap
Yes to add the selected
letter to the Job Queue during the next synchronization.
