The Group Scheduling tab enables the user to see the availability of

all users in the office for a particular time slot, making it easy to

schedule activities involving multiple users.

To open Group Scheduling, do one of the following:

On the side menu, click Calendar

and select Group Scheduling

from the expanded menu.

From any [calendar

view](/help/pro/smartcalendar/-/getting/oriented), click the Group Scheduling

tab.









The Participants column displays all users in the office, along with

a time grid. Users' busy time slots are displayed in dark blue, while

available time slots are displayed in light blue. Participants can be

added or deleted using the Add Participants

and Delete Participants buttons

at the top of the Participants column.




When an available time block is selected, the Start Time and End Time

fields update automatically to reflect the selection. Clicking on any

busy time block opens the Activity Detail dialog for that activity.




Users' availability for any date can be displayed using the Pick

Date button in the Display Date field.




The User Groups drop-down list displays all available user groups in

the office. Selecting a user group updates the Participants section to

list only the users belonging to that group.




When an available time slot for a user is double-clicked, the system

displays a confirmation message asking whether the activity should include

all available/tagged users or only that particular user.







Select the appropriate option from the confirmation message to create

activities with the appropriate participants.




Clicking on a user's name hyperlink in the Participants section displays

that user's calendar.
