Overview





Note: This is one version of the Activity Outcome Wizard. The

other version is the [Comprehensive

Activity Outcome Wizard](/help/pro/comprehensive/activity/outcome/wizard).





The standard Activity Outcome Wizard contains

two main options for the [tracking

of activity outcomes](/help/pro/activity/outcome/wizard): No Contact Made and Contact Made. The options

displayed in the Outcome Options section vary depending on the outcome

selected in the Select an Outcome section.







The Outcome Notes field is used to enter

comments; this text is displayed on the [activity

history](/help/pro/smartcalendar/-/activity/dialog/box#Notes_and_History). This note can also be sent as an alert message to all participants

by selecting the Send this note as an alert and

e-mail to other user(s) option. In addition, the user can select

record tags that will be applied to the

note.




"No Contact Made" Outcomes

Reschedule

for Tomorrow, Reschedule for a Later Date, Contact Later Today:

If the activity results in no communication with the contact, and

if it is necessary to reschedule the activity, select this option.




Selecting any of these options does not mark the activity Done. In

the Reschedule Activity section, the Create Activity On field is pre-filled

based on the selected outcome option, but the user can enter a different

date.




To check a participants' availability for the new date and time, click

the Check Participant(s) Availability

button. This opens the Scheduling dialog box with the new date, along

with the Busy and Available time slots (for more about group scheduling,

see Group Scheduling).




After entering all information, select the Add

more activity details after this window option to open the

[Activity dialog

box](/help/pro/smartcalendar/-/activity/dialog/box) and add more details to the activity, if appropriate.




The [activity

history](/help/pro/smartcalendar/-/activity/dialog/box#Notes_and_History) records posted are Appointment Not Completed and Appointment

Rescheduled (for Appointment activities) and Dial Made, No Contact

Made and Call Rescheduled (for Call activities).

Mark

Done – No future activity: If the activity results in no communication

with the contact and does not need to be pursued further, select this

option to mark the activity Done. The New Activity Details section

is disabled when this option is selected.

Done – No future activity (for Appointment activities) and Dial Made,

No Contact Made and Mark Done – No future activity (for Call activities).

Other:

If the activity results in no communication with the contact and needs

to be marked Done for other reasons, select this option to mark the

activity Done.

(for Appointment activities) and Dial Made, No Contact Made and Other

(for Call activities).






"Contact Made" Outcomes





Note: Selecting a Contact Made outcome

also updates the Last Action By and Last Action On columns for the

record linked to the activity (for example, the contact). These columns

can be added to many SmartOffice lists using [list

layout customization](/help/pro/list/layout/customization).

Schedule

New 'Appointment' Activity, Schedule New 'Call' Activity: If

the activity results in communication being established with the contact

and a new follow-up appointment or call being scheduled, select one

of these options to mark the current activity Done and create a new

follow-up activity.




Enter a date and time for the new appointment or call activity in the

Create Activity On field in

the New Activity Details section, or select the Pick

Date and Time button to see when you have an open time slot

in your calendar. Use the Assign

To field to add a user participant for the newly created activity.

The availability of the participant(s) can be viewed by clicking the

Check Participant(s) Availability

button in the New Activity Details section.




The Add more activity details after

this window option is selected by default in the New Activity

Details section. This option opens the Activity Detail dialog once

the Outcome dialog box is closed, enabling the user to enter the full

details for the new activity.

New 'Appointment' Activity (for Appointment activities) and Dial Made,

Contact Made and Schedule New 'Call' Activity (for Call activities).

Mark

Done: If the activity results in communication being established

with the contact and does not need to be pursued further, select this

option to mark the activity Done.

Done (for Appointment activities) and Dial Made, Contact Made and

Activity Done (for Call activities).

Reschedule

Activity: If the activity results in communication being established

with the contact and the rescheduling of the activity to a future

date and time, select this option to reschedule and track the activity.

Selecting this option will not mark the current activity Done.




Enter the new date and time for the activity in the Create

Activity On field in the Reschedule Activity section. Use the

Assign To field to add a participant

for the rescheduled activity. The availability of the participant(s)

can be viewed by selecting the Check

Participant(s) Availability button in the Reschedule Activity

section.

(for Appointment activities) and Dial Made, Contact Made and Rescheduled

(for Call activities).

Other:

If the activity results in communication being established with the

contact but needs to be marked Done for other reasons, select this

option to mark the activity Done.

Appointment activities) and Dial Made, Contact Made and Other (for

Call activities).

Sale

Made: If the activity results in communication being established

with the contact and a sale is made, select this option to mark the

activity Done.




The details of the sale can be entered in the Sale Made Options section.

The fields available are Policy/Account #, Carrier/Vendor, Plan/Product

Name, Amount, Premium and Commission.




The activity history records posted for the Sale Made outcome are Appointment

Completed and Sale Made (for Appointment activities) and Dial Made,

Contact Made and Sale Made (for Call activities).

Sale

Lost: If the activity results in communication being established

with the contact and the loss of a sale, select this option to mark

the activity as Done.




The reason for the lost sale can be entered in the Outcome Notes section.




The [activity

Completed and Sale Lost (for Appointment activities) and Dial Made,

Contact Made and Sale Lost (for Call activities).

Not

Interested – Future Activity, Not

Interested – No Future Activity: When the activity results

in communication being established but the contact shows no interest,

select either of these outcomes. The first outcome marks the activity

as Done and enables the user to create a new activity to re-establish

contact at a later time. The second outcome simply marks the activity

as Done.




After selecting the Not Interested – Future Activity outcome, the user

can enter the details of the new activity in the New Activity Details

section. The New Activity Details section is not available when the

Not Interested – No Future Activity outcome is selected.

(for Appointment activities) and Dial Made, Contact Made and Not Interested

outcome are Appointment Completed and Not Interested – No Future Activity

(for Appointment activities) and Dial Made, Contact Made and Not Interested

– No Future Activity (for Call activities).






Other Standard Outcome Options

Add

Referral: When the activity results in the acquisition of new

referrals from the contact/business, click the Add

Referral button at the bottom of the Activity Outcome dialog

box to enter the details of the new referrals and track the activity.




In the Select Referral Type dialog box, select the Contact

or Business option depending

on the type of referral received, and then click the OK

button. A new dialog box opens, enabling the user to enter the details

of the new contact or business.




The name of the referring contact is automatically entered in the Referred

By field of the new contact or business.




Clicking the Add Referral button makes no change to the activity, but

it posts an [activity

history](/help/pro/smartcalendar/-/activity/dialog/box#Notes_and_History) record (Enter Obtained Referrals) in addition to those

history records posted by the selected outcome.
