Overview


This help page describes how to track relations between advisors and other contacts in SmartOffice CRM. The content link functions similarly to the contact Key Relations feature but includes advisor-specific sections.


Key Sections


Policy Contacts Section


Available for users with SmartPolicies or SmartBenefits licenses, this area enables linking advisors to key SmartOffice users like account managers and sales representatives. Policy contact relations automatically populate in new policy and pending case records. They can be selected as correspondence recipients and appear in Dynamic Reports under "Interested Parties" and "Policy Key Relations" categories.


Main Functions


Adding Policy Contact Relations: Users open the Policy Key Relations dialog, enter contact name, role, effective/expiration dates, and split percentage. The contact must link to a SmartOffice user account. An option allows automatic passing to new case and policy records.


Deleting Relations: Tag the contact in the Policy Contact list, then select "Delete 'Policy Contacts' record" from the Options menu.


Reassigning Contacts: Users with appropriate permissions can change which contact holds a particular policy role across multiple advisor, pending case, and policy records simultaneously using the Key Relation Reassignment utility.


Mass Operations: The Advisor List supports tagging multiple advisors for bulk key relation assignment or removal when appropriate licensing is enabled.
