Contacts and Businesses - Contact Types


Overview


SmartOffice uses three distinct type classifications for contact records. These types shape what information is stored and processed.


Record Type


Record Type distinguishes between contacts (individuals) and businesses (organizations). Within these categories, records receive further classification.


Subsystem Type


Subsystem Type reflects where a record originated within the system. Examples include "Advisor" for contacts created in the Advisors and Agencies module, or "Agency" for businesses from the same module. Other subsystem types mentioned are Contact, Business, Dependent, and Carrier. These are part of the SmartOffice core system and cannot be modified or customized, though some records may be converted between types.


Type


Type provides more granular categorization using predefined options. Contact subsystem types can be assigned as Client, Lead, Prospect, or Beneficiary. Authorized users may create additional custom types. Type information appears in the Type field within contact and business records.
