Overview
This help documentation describes SmartOffice's Know Your Client (KYC) compliance feature. The KYC content link appears when viewing contact, business, or investment account records, provided the "KYC View license is enabled for the user's account."
The feature helps professionals like financial advisors track compliance data. Fields and layouts are customizable through KYC form templates assigned to each record type.
Key Functionality
Viewing & Editing:
Users can access KYC data through a dedicated content link, print information via the Menu, and modify values. The system notes that many fields on the KYC content link are linked to fields that display elsewhere in SmartOffice, creating real-time synchronization across the platform.
Template Management:
- Users with KYC Template Creation licenses can create templates from scratch, copy existing ones, or import XML-formatted templates from other offices
- Templates contain organized groups of fields with customizable layouts
- Once created, templates are assigned to specific record types (Contact, Business, or Investment Account)
Important Considerations
The documentation warns that deleting a template can cause data loss: when the user deletes such a template, data loss can occur. This applies even to currently active office templates, particularly when custom fields containing user-entered data are involved.
Custom field modifications (labels and dropdown choices) persist across the office and are retained even after field removal or template deletion.
