Integrations - Slack


Overview


This guide explains how SmartOffice users can integrate their CRM with Slack to search records and share information between platforms. The integration allows you to search for contacts, businesses, opportunities, and policies directly within Slack conversations, and post Slack messages to contact records in SmartOffice.

The integration allows searching for:


  • Contacts and businesses
  • Opportunities
  • Policies (all types)

Message Sharing


Users can post Slack messages directly to a contact's SmartPad in SmartOffice for note-keeping and collaboration.


Requirements


  • Active SmartOffice account
  • Slack account (desktop or mobile versions supported)
  • Setup must be completed in Slack's desktop version

Setup


Installation


  1. Open Slack's desktop application
  2. Navigate to Apps section
  3. Search for "Ebix SmartOffice"
  4. Select Add to install

Note: Administrator approval may be required depending on your workspace settings.


Authorization


First-time users must authorize the connection:


  1. You will receive a notification to "authorize SmartOffice to access your Slack workspace"
  2. Select Allow
  3. Enter your SmartOffice credentials
  4. Complete the authorization process

Search Commands


The integration provides six searchable commands:


/contact


Retrieves contact details including:

  • Contact name
  • Email address
  • Phone number

/business


Finds business records with key information.


/opportunity


Displays deal information including:

  • Opportunity name
  • Stage
  • Amount
  • Estimated close date

/policy


Shows policy details including:

  • Policy number
  • Carrier
  • Product
  • Status

/advisor-policy


Lists policies linked to a specific advisor, showing:

  • All policies where the advisor is associated
  • Policy summary information

/contact-policy


Shows policies linked to a specific contact, displaying:

  • All policies for the contact
  • Policy status and details

Using the Integration


Searching Records


To search for records in Slack:


  1. In any Slack channel or direct message, type one of the search commands (e.g., `/contact`)
  2. Enter the search term (name, policy number, etc.)
  3. Press Enter to execute the search
  4. Results will appear in the Slack conversation

Sharing Messages to SmartOffice


To post a Slack message to a contact's SmartPad:


  1. Hover over the message you want to share
  2. Select the message actions menu (three dots)
  3. Choose Share to SmartOffice
  4. Select the contact record
  5. The message will be posted to the contact's SmartPad

Removal


To uninstall the SmartOffice app from Slack:


  1. Open Slack workspace settings
  2. Navigate to Apps
  3. Find "Ebix SmartOffice"
  4. Select Remove or Uninstall
  5. Confirm the removal
