Overview




To quickly narrow down the number of records displayed in a list,

the user can apply column filters. These filters screen out records that

do not meet specific criteria.




Note: Column filters are

also called "list filters" or "single-use filters."




For example, while viewing a list of contacts, the user may want to

filter out all contacts except those with a Type column value of "Client."

Applying Column Filters




There are two ways to apply column filters to a list.




Method 1





-

In a list of records, click a column's Apply

to display

a menu of options.

Do one of the following:






Enter a value in the Contains

field and then press the Enter

key. All records that do not contain this text will be filtered

out of the list.

Select All Blank

to display only those records for which the column is blank, or

All Not Blank to

display only those records for which the column is not blank.



- Click the Advanced

Filter hyperlink and then enter the appropriate filter

criteria. The choice of operators will vary depending on the column

chosen. See Filter Operators

for details about the available choices. When finished, click

the OK button.







Filters can be applied to more than one column. This enables the user

to narrow the list down further.




Method 2

While

viewing a list of records, select Menu

> List Options > Apply List Filter

to open the Apply List Filter dialog box.

Select

a column, operator and value. The process for doing so is the same

as the process for creating stand-alone filters. See [Creating

a Filter](/help/pro/filters/-/creating/a/filter).

Click

the OK button. The dialog

box closes, and the list displays the records returned by the filter.

Repeat

these steps to apply additional filters to the list if necessary.






Removing Column Filters




To remove

a filter from a specific column, click the column's Undo Column

.




To remove

all filters from all columns and display all records, select Menu

> List Options >

Undo List Filter.




Notes about Column Filters





-

Filtered column headings display in a darker color than the

headings for unfiltered columns.

A column filter cannot be saved for use on other lists. To save

a filter for future use, create a [stand-alone

filter](/help/pro/filters/-/introduction).

The user can take a "snapshot" of a filtered list

and return to it anytime by "bookmarking" the filtered list

through the History tab.
