Overview




This section describes what happens to SmartOffice contacts when the

[Protect Communication

History](/help/pro/protect/communication/history/-/introduction) feature is enabled for an office.




For general information about working

with contacts, see [Contacts

and Businesses](/help/pro/contacts/and/businesses/-/introduction).





Archiving a Contact




When the user [deletes

a contact](/help/pro/contacts/and/businesses/-/creating/and/deleting/contacts/and/businesses) that has correspondence,

documents

or [SmartPad

notes](/help/pro/protect/communication/history/-/smartpad/notes) associated with it, SmartOffice notifies the user that the contact

will be archived.







The contact is then moved to the Archived Records area of the system.

SmartOffice also archives the linked correspondence, documents and notes.




Any other records linked to the contact—households,

policies, pending cases—are

deleted according to SmartOffice's normal [deletion

rules](/help/pro/contacts/and/businesses/-/creating/and/deleting/contacts/and/businesses) and are not archived.




Activities linked to an archived contact are removed from the calendar

but are retained in the database. If the archived contact is restored,

those activities reappear in the calendar.




Viewing an Archived Contact

From the SmartOffice [side

menu](/help/pro/navigation/-/side/menu), select Utilities

> Archived Records to open

the Search Archived Records dialog box.

Enter the name of the archived

contact in the Name field, or leave the field blank to display all

archived contacts.

(Optional) To limit search

results further, click the Filter

and/or Set hyperlinks to specify

a filter or set.

Click the Search

button to display the Archived Records List.









Note: The details of an archived

contact cannot be viewed from the Archived Records List. The contact must

be restored before its details can be viewed.




Restoring an Archived Contact

From the Archived Records List, tag

the contact.

Select Menu

> Restore Tagged Archived Record(s).
