Overview
The Account Groups feature of SmartInvestments makes it possible to group investment accounts regardless of primary contact, account type, etc. For example, an account group could contain various types of retirement
accounts belonging to a married couple. An investment account can belong to multiple account groups.
With account groups, a user can: - Run certain investment reports for the group.
- Track performance for the group.
- Track asset allocation for the group.
Searching for Account Groups
- From the SmartOffice side menu, select Investments > Account Groups to open the Search Account Groups dialog box.
- To limit the search, enter an account group name, contact or purpose. Otherwise, leave all fields blank to display a list of all account groups.
- (Optional) Limit the number of results further by clicking the Filter hyperlink to select a filter.
- Click the Search button.
Creating an Account Group
- Do one of the following:
- From the SmartOffice side menu, select Investments > Account Groups, and then click the New button.
- On the contact Account Groups tab, select Menu > New
Account Group. - If SmartOffice displays a list of investment accounts to add to the account group, tag one or more accounts, and then click the OK button.
- Enter the details of the account group, such as the group name (required), purpose, goal and so on.
- Select Menu > Save.
- Add accounts to the group.
Viewing the Accounts and Positions in an Account Group
To see all of the investment accounts and positions associated with an account group: -
Perform an account group search.
- Navigate to the Group Accounts or Group Positions content link of an account group.
- Click an account or position to view its details.
Adding Accounts to an Account Group
From the Account Groups List
- Tag an account group in the list.
- Select Menu > Add Account to Account Group to open the Search Accounts dialog box.
- Perform an investment account search.
- In the Global Investment Account List, tag one or more accounts, and then click the OK button.
From an Account Group's Group Accounts Content Link
- Navigate to the Group Accounts content link of an account group record.
- Select Menu > Add Account to Account Group.
- Tag one or more accounts in the Global Investment Account List.
- Click the OK button.
From the Investment Account List
- Perform an investment account search.
- Tag one or more accounts in the Investment Account List.
- Select Menu > Add Accounts to Portfolio to open the Account Group Search dialog box.
- Perform an account group search to display a list of available groups.
- Tag an account group, and then click the OK button.
From a Contact's Account Groups Tab
- Navigate to the Account Groups tab of a contact record.
- Tag an account group.
- Click the List or Group Detail content link.
- Select Menu > Add Account to Account Group to open the Investment Account List.
Note: The list displays only those accounts associated with the contact. To search for accounts associated with other contacts, click the Global Search button, and then perform an investment account search. -
Tag one or more accounts, and then click the OK button.
From the Account Detail Content Link
- Open the Account Detail content link of an investment account.
- In the Account Groups section, click the Options button and select Link to Account Group to open the Account Group Search dialog box.
- Perform an account group search to display a list of available groups.
- Tag one or more account groups, and then click the OK button.
Removing Accounts from an Account Group
The following instructions describe how to remove accounts from account groups manually. Note that SmartOffice removes accounts from account groups automatically when the accounts are linked to a contact that is deleted and later restored (for more information, see Deleted Records).
From the Account Detail Content Link of an Investment Account
- Navigate to the investment account's Account Detail content link.
- In the Account Groups section, tag one or more groups.
- Click the Options button and select Unlink from Account Group.
- When the confirmation message displays, click the Yes button.
From an Account Group Record
- Perform an account group search.
- Navigate to the Group Accounts content link of an account group.
- Tag one or more investment accounts.
- Select Menu > Unlink from Account Group.
Sending Correspondence to an Account Group
Users can send correspondence from the Account Groups List as well as the Group Accounts content link. Correspondence sent from the Account Groups List is addressed to the primary contact of the primary account in the group, while correspondence sent from the Group Accounts content link is addressed to the primary
contact of the selected account. Learn more about correspondence.
Posting Letters or Documents to an Account Group
- Perform an account group search.
- Navigate to the Letters/Documents content link of an account group.
- Post the letter or document (for more information about document posting, see Contacts and Businesses
- Letters/Documents Content Link).
Viewing a Contact's Account Groups
While viewing a contact, click the Account Groups tab to view the account groups associated with the contact.
Viewing the Account Groups Linked to an Account
To see the account groups that an investment account belongs to, go to the account's Account Detail content link and look for the Account Groups section.
Selecting the Primary Account of an Account Group
On the account group Detail content link, the Primary Account field is editable. By default, the first account added to an account group is the primary account. Click the Primary Account hyperlink to designate a different account as the primary account.
Note: If an account group's primary account is deleted permanently from the system, SmartOffice automatically unlinks the account from the group and assigns another linked account as the primary account.
Running Investment PDF Reports on an Account Group
Running reports on an account group greatly simplifies the process of reporting on multiple client accounts regardless of primary contact, account type and so on. -
While viewing a contact, click the Account Groups tab to view the account groups associated with the contact.
- Tag an account group.
- Select Menu > Reports > Run Reports (PDF).
