Overview
The primary way to access investment accounts in SmartInvestments is to use the account search feature.
Note: An investment account will be
"hidden" and will not appear in search results if the contact linked to the account has been deleted. To "unhide" the account, restore the contact from the Deleted Records area of the system.
Quick Search
This method is best when the user wants to search using only the account number. -
In the SmartOffice Search section, select Investment Account from the Search drop-down list.
- Do one of the following:
- Enter a full or partial account number in the search field. During text entry, SmartOffice displays a dynamic menu containing any matching accounts. If the account is listed in this menu, select the account to immediately open it.
- To display all accounts in the system (i.e., perform a "blank" search), leave the search field blank.
Note: If the database contains a large number of accounts, a blank search may take a long time to complete. To prevent that, enter at least the first numeral of the account number. -
Click the Search button to display the search results.
Advanced Search
This method enables the user to search using many criteria in addition to the account number. -
Do one of the following: - In the SmartOffice Search box, select Investments > Account from the Search drop-down list, and then click the Advanced hyperlink.
- In the SmartOffice side menu, click Investments and then select Accounts from the expanded menu.
Either action opens the search dialog box.
Note: If the account is listed in the Recently Visited section, click the account to open it. -
Do one of the following: - To display all accounts in the system (i.e., perform a "blank" search), leave all fields blank.
Tip: If the account is listed in the Recently Visited section, click the account to open it. -
To limit the search results, enter search criteria into one or more fields. These fields correspond to the fields in investment account records; for descriptions, see Viewing and Editing Investment Accounts. The fields are not case-sensitive, and partial entries are allowed. When entering a person's name in the Contact field, use the Last Name, First Name format. -
(Optional) Limit the number of results further by clicking the Filter hyperlink to select a filter.
- Click the Search button.
From a Contact or Household Record
While viewing a client's contact record or a household record, click the Investment Accounts tab to see a list all of the client's or household's investment accounts.
Investment Account List
The results of an investment account search are displayed in the Investment Account List.
Note: If the search returns only one result, SmartOffice bypasses the list and automatically displays the Account Detail content link.
Click the first-column hyperlink of an account record to open it. The information stored in investment account records is described in Viewing and Editing Investment Accounts. To quickly preview an investment account without opening it, position the mouse pointer over the first-column hyperlink to display its information card.
To narrow down the list further, use the Type, Status and Role drop-down lists at the top to limit the types of accounts displayed (the Role drop-down list displays only when the list is accessed from a contact record). SmartOffice remembers the user's selections from these drop-down lists, even after the user signs out, so that the user does not have to reselect them when viewing the list in the future. Accounts whose status is Inactive/Closed
are highlighted in a light red color. Users who have list layout customization rights can alter the column layout to suit their needs. For example, a user can add the Latest Account Notes column to see the latest notes for accounts without having to open the account records.
