SmartInvestments - Searching for Investment Positions

Overview


The primary way to access investment positions in SmartInvestments is to use the positions search feature. Note: Personal holdings (bank accounts, notes receivable, personal property and real estate) do not display in regular position searches. To find these records, click the Investment Positions tab while viewing a contact or household record.



This method is best when the user wants to search using only the account number associated with the position. -

In the SmartOffice Search section, select Investment Position from the Search drop-down list.


  • Do one of the following:
  • Enter a full or partial account number in the search field. During text entry, SmartOffice displays a dynamic menu containing any matching account numbers and their associated positions. If the position is listed in this menu, select the position to open it immediately.
  • To display all positions in the system (i.e., perform a

"blank" search), leave the search field blank.

Note: If the database contains a large number of positions, a blank search may take a long time to complete. To prevent that, enter at least the first numeral of the account number associated with the position. -

Click the Search button to display the search results.



This method enables the user to search using many criteria in addition to the account number. -

Do one of the following: - In the SmartOffice Search box, select Investments > Position from the Search drop-down list, and then click the Advanced hyperlink.


  • In the SmartOffice side menu, click Investments and then select Positions from the expanded menu.

Either action opens the search dialog box.


Note: If the position is listed in the Recently Visited section, click the position to open it. -

Do one of the following: - To display all positions in the system (i.e., perform a


"blank" search), leave all fields blank.

Note: If the database contains a large number of positions, a blank search may take a long time to complete. To prevent that, enter at least the first numeral of the account number associated with the position. -


  • To limit the search results, enter search criteria into one or more fields. These fields correspond to the fields in investment position records; for descriptions, see Viewing and Editing Investment Positions. The fields are not case-sensitive, and partial entries are allowed. When entering a person's name in the Contact field, use the Last Name, First Name format.
  • (Optional) Limit the number of results further by clicking the Filter hyperlink to select a filter.
  • Click the Search button.

From a Contact or Household Record


While viewing a client's contact record or a household record, click the Investment Positions tab to see a list all of the client's or household's investment positions. Note: This is the only way to search for personal holdings (bank accounts, notes receivable, personal property and real estate). Personal holdings are not included in search results when using other search methods.


From and Investment Account Record


While viewing an investment account record, click the Investment Positions tab to see a list of all positions within that account.


Investment Position List


The results of an investment position search are displayed in the Investment Position List.

Note: If the search returns only one result, SmartOffice bypasses the list and automatically displays the Position Detail Content Link. Click the first-column hyperlink of a position record to open it. The information stored in investment position records is described in Viewing

and Editing Investment Positions. To narrow down the list further, use the Type and Status drop-down lists at the top to limit the types of positions displayed. SmartOffice remembers the user's selections from these drop-down lists, even after the user signs out, so that the user does not have to reselect them when viewing the list in the future. Users who have list layout customization rights can alter the column layout to suit their needs. For example, a user can add the Latest Position Notes column to see the

latest notes for positions without having to open the position records. If the value in the Shares column is negative for a position, the first column for that position appears highlighted with a red background (SmartOffice considers a Shares value of less than -0.0005 to be negative).
