Advisor Payment Import - Importing Commission Transactions
Overview
This SmartOffice feature enables commission transaction imports through data mapping capabilities. Users must have the "CTM - Advisor Payment Import" user right enabled to perform imports. The system uses import setups that contain field mappings and settings specific to each data provider, allowing for reusable configurations across multiple import cycles.
File Format Requirements
Import files must be in comma-separated values (.csv) format.
Creating an Import Setup
The initial setup process involves several steps:
- Access the Import Tool: Navigate via side menu to Commission Utilities > Advisor Transaction Import
- Name the Setup: Provide an identifier for the configuration (typically the data provider name)
- Select File: Browse and select the import file (optional but recommended)
- Configure File Options: Specify data format, encoding, and date formatting
- Choose Validation Method:
- "Validate for Advisor" for single-advisor files
- "Validate for Rep ID" for multi-advisor files
- Select Category and Platform: Designate sorting/grouping preferences and data provider name
- Map Fields: Link import file columns to SmartOffice fields, ensuring critical fields are included: Account Number, Rep Number, and Commission Amount
- Save: Store the setup with or without immediately running the import
Running Existing Setups
Users can reuse saved setups by selecting the appropriate configuration, choosing "Run Setup," selecting a new import file, and executing the import process on the final step.
