Integrations - AnnuityNet
Overview
The AnnuityNet integration connects Zinnia's AnnuityNet order-entry system with SmartOffice's case management and commission tracking. Users can initiate annuity transactions, monitor their status, and access an existing AnnuityNet transaction directly from SmartOffice.
AnnuityNet is Zinnia's annuity order-entry platform that streamlines the process of submitting and tracking annuity applications with participating carriers.
Requirements
To use SmartOffice's integration with AnnuityNet, you must have:
- An AnnuityNet 4 account
- Annuity eApp license in SmartOffice (enabled by administrator)
Setup
User Configuration
A SmartOffice administrator must enable the Annuity eApp license for each user who will use the integration:
- In SmartOffice, access the User Rights content link for the user's account (Setup > User Accounts)
- In the Licenses column, select Annuity eApp in the Integration section
- Select Menu > Save
- Repeat these steps for each additional user
Data Preparation
For the integration to create pending case records automatically, ensure that contact records have:
- Primary Advisor field completed
Note: Without a Primary Advisor assigned, the system creates presale activities instead of pending case records.
Using the Integration
Initiating Transactions
Users can launch new applications or subpayment transactions from contact or advisor records:
- Open a contact record or advisor record in SmartOffice
- Select Menu > Integrations > Annuity eApp
- Choose the transaction type:
- New application
- Subpayment transaction
- Complete the transaction in AnnuityNet
The integration will automatically create a corresponding pending case record in SmartOffice (if Primary Advisor is assigned).
Status Monitoring
AnnuityNet automatically communicates changes to the status of an annuity transaction to SmartOffice, updating associated pending cases accordingly. The system maps AnnuityNet statuses to corresponding SmartOffice pending case statuses:
- Pending
- Application submitted, awaiting review
- Awaiting eSignature
- Electronic signature required
- Declined
- Application declined by carrier
- Transmitted
- Application successfully transmitted to carrier
Accessing AnnuityNet Records
Users can open AnnuityNet through:
- The side menu integration shortcut
- Pending case records (opens specific transaction details)
Record Matching and Synchronization
SmartOffice matches incoming AnnuityNet data using:
- Tax ID
- NAIC ID
- Name and birth date combinations
The system automatically creates or updates the following records:
- Advisor records
- Carrier records
- Product records
- Contact records
This ensures that all transaction data is synchronized between AnnuityNet and SmartOffice.
