Overview


While viewing an investment security, the user can access this content link to track basic information about the security.

Note: For variable annuity securities, this content link is called VA Detail. Blended and comparative index securities are a special case and are described separately elsewhere in this documentation. See Comparative and Blended Indices.


[Security] Information Section


The name of this section varies depending on the security type (e.g., Stock Information, Mutual Fund Information). The fields are the same for all security types except for indices. -

Symbol/Security ID (CUSIP): These fields display the security's ticker symbol and CUSIP number. The symbol is the letters that identify the security for trading purposes. It can be up to up to 30 characters long. CUSIP is a numbering system developed by the Committee on Uniform Securities Identification Procedures and endorsed by all major segments of the financial community. Some investment securities do not normally have published symbols (e.g., variable annuities, direct participation programs and cash & equivalents). In these cases, the user can create unique symbols to take advantage of SmartOffice's database maintenance and update functionality.


The CUSIP number is the most reliable method of correctly identifying a security. This number is used by information providers such as StatementOne and DST FanMail to match on for electronic downloads. Unique numbers may be assigned by the information provider. Some investments do not have published CUSIP numbers (e.g., variable annuities, direct participation programs and cash & equivalents).


By entering either the ticker symbol or the CUSIP number for an investment security, the user can maintain the current price, asset class, current dividend, etc., for all contacts with a single entry.


  • Name: The name of the security as it appears throughout SmartOffice.
  • Purpose: This field is not available for variable annuities.
  • Fund Objective: Select an option that matches the investing style associated with the security. Users who with the appropriate user rights can customize this drop-down list. This field is not available for variable annuities.
  • Code: (Variable annuity securities only.) This field is optional for securities that are maintained manually. However, if the security is to be maintained using electronically download data, the Code field must be filled out to ensure that downloaded data is matched to the correct security record in SmartOffice.

Asset Allocation Section


If this Sector and Asset Class fields in this section are not filled in, positions based on this security are not included in asset allocation calculations. Note: This section is not available for variable annuity securities.


Price information Section


  • Price/Price Date: These fields can be used to manually enter the latest price information for the security. To ensure that price data is complete and accurate, the system requires that the user complete both fields (or leave both blank). To look up the price, click the Symbol/Security ID (CUSIP) hyperlink to open Yahoo! Finance in a new browser tab/window. Any price update entered here is automatically added to the security's Price History content link. For information about automated methods of updating prices, see Updating Security Prices. This field is not available for variable annuities.
  • Price Factor: The default price factor is 1 for all securities except bonds, whose default is

.01. Bonds are priced in hundreds, not thousands. For example, if a bond with a $1,000 face (or par) value is purchased at a discount for $935, the price for the purchase is entered as $93.5. This field is not available for variable annuities.


  • Fixed Price: If this option is selected, prices cannot be downloaded automatically using the Internet Quote Service. This option is not available for variable annuities.

Other Information Section


The fields in the Other Information section vary depending on the security type. Fields commonly found in this section include: -

Provider: The company that provides the security. Click the Provider hyperlink to search for or create a business record for the provider.


  • Annual Dividend: This field displays the annual dividend that the security pays. The value is displayed out to four decimal places.
  • Tax Deferred: This option affects certain fields and columns in position records associated with the security. If the option is selected, the Cumulative Tax column on the Position Transactions content link is not calculated, and the Tax Cost field on the Position Detail content link is blank. Variable annuities are tax-deferred securities, so this option must be selected when creating variable annuity security records.
  • Exclude from Performance: Select this option to exclude the security from time-weighted return
