Activity Field Reference


This is a list of the fields you will encounter when working with activity records. The fields are listed in alphabetical order for easy reference. Activity End Time


The activity end date and time. For tasks and all-day activities, which are untimed, only the date can be specified. Activity Location


The physical location where the activity will take place. You can enter the name of a place, an address or any other identifying information about the location.


Activity Priority The urgency of an activity. The choices are High, Normal and Low.


Activity Start Time The activity start date and time. For tasks and all-day activities, which are untimed, only the date can be specified.


Activity Status This field indicates whether the activity is active, done or canceled. Note that canceled activities are hidden from all calendar views.


Activity Type This field specifies whether the activity is an appointment, call, to-do, project, personal or meeting activity.


Activity Sub-Type This field can be used to further classify the activity after the Activity Type field has been specified.


Additional Contacts


After you specify a primary contact in the Contact field of an activity, you can use this field to include additional contacts. When you start typing a contact’s name, the system displays a list of matching contacts. Select a contact to add it to the list. To remove a contact, select the X button next to the contact’s name.


All Day Indicates that an activity will stretch over the entire day. All-day activities are untimed and can therefore be assigned start and end dates only.


Calendar This option indicates that the activity is a timed activity. Such activities can be assigned start and end dates as well as times.


Contact


The primary contact linked to the activity. When you start typing a contact’s name in this field, the system displays a list of matching contacts to select from. When a contact is specified, the activity appears in the Activities section of the contact’s record.


Description Details about the activity.


Keywords Use this field to enter keywords that you can later use to easily find the activity.


Participants


Use this field to include other SmartOffice users in the activity. The activity will appear on these users’ calendars. When you start typing a user’s name, the system displays a list of matching users. Select a user to add him or her to the list. (Note: If the user’s name appears in red after being added to the activity, that user has a scheduling conflict.) To remove a participant, select the X button next to his or her name.


Subject A brief description of the purpose of the activity.
