Overview
SmartOffice features two types of merge utilities that can be used to
combine multiple investment account, position or security records into
a single record:
-
Duplicate Merge
-
Non-Duplicate Merge
This section describes each merge type.
Note: For security records, SmartInvestments
has a special feature for combining securities to reflect a corporate
merger. See [Recording
Corporate Mergers, Stock Splits and Spin-Offs](/help/pro/smartinvestments/-/recording/mergers/acquisitions/stock/splits/and/spin-offs).
Duplicate Merge
The Duplicate Merge feature locates all records that match a specified
investment account, position or security record and merges the matching
records into a single record.
The advantage of using Duplicate Merge is that the system automatically
finds all duplicates for the specified record and can merge more than
two records if necessary. SmartOffice uses the following criteria to determine
duplicates:
-
Investment Accounts:
Records that have the same account number and that are linked to the
same contact are considered duplicates.
-
Investment Positions:
Records with the same Product Code are considered duplicates.
-
Investment Securities:
Records with the same value in the Symbol field are considered duplicates.
To perform a duplicate merge:
-
[Search
for the account](/help/pro/smartinvestments/-/searching/for/investment/accounts), position
or security.
-
In the list of search results, tag the account, position
or security (for securities, you can also open the record).
-
Select Menu
> Advanced Options and
select the appropriate option from the expanded list:
For an investment accounts, select Merge
Duplicate Accounts.
-
For an investment positions, select Merge
Duplicate Positions.
-
For an investment securities, select Merge
Duplicate Securities.
-
When the confirmation message displays, click the
Yes button.
Non-Duplicate Merge
This merge method combines any two investment account, position or security
records, regardless of whether the records are considered duplicates by
SmartOffice (see the previous section).
The process for merging non-duplicate investment accounts, positions
or securities is the same as that for contacts and other types of SmartOffice
records. For more information, see [Record
Merge](/help/pro/contact/merge).
