Installation and Configuration
Overview
SmartDialer enables SmartOffice users to auto-dial within the application
and track calls for reporting purposes.
To dial automatically, SmartDialier requires Internet Explorer as well
as phone hardware with a Telephony Application Programming Interface (TAPI)
driver installed in Windows.
Note: Although this topic focuses
on configuring and using SmartDialer and auto-dialing calls, you can
use the call workflow described below in "manual" mode without
having SmartDialer or phone hardware installed.
Setup
Installation and Configuration

Make sure the phone hardware and any
drivers are properly installed.

In the SmartOffice [side
menu](/help/pro/navigation/-/side/menu), select Setup > Installations to open the Installations List.

Click the SmartDialer
hyperlink to install SmartDialer.
-
In the Install/Configure SmartDialer
dialog box, click the Config button
to open the Setup Lines dialog box.
-
Click the Dialing
Properties button to open the Location Information dialog box.
-
Enter the appropriate information.
For example, if the office phone system requires that a 9 be dialed
for long distance calls, type a 9 into the

Click the OK
button to open the Dialing Rules dialog box.

Select the appropriate location, and
then click the OK button to return
to the Setup Lines dialog box.

Select the appropriate choice from
the TAPI Line drop-down list. If you need
help with this selection, contact your system administrator.

Click the Configure
Line button, make any necessary changes, and then click the
OK button.

Click the OK
button again to confirm the selections.
User Setup
-
From the [profile
menu](/help/pro/navigation/-/profile/menu), select Profile & Settings
to open [User
Preferences](/help/pro/user/preferences).
-
In the Default Settings
section, enter the proper Default Area Code and Default Country Code
information, and then click the Save
button.
Using SmartDialer
-
From any screen in SmartOffice Pro,
do one of the following:
-
If the Menu button is available,
select Menu > Advanced
Options > Make/Receive a Phone
Call.
-
Press CTRL+F6.
-
If SmartOffice Pro cannot determine
which contact you are trying to call, the Search Contacts dialog box
opens. [Search
for and select the contact](/help/pro/contacts/and/businesses/-/searching/for/contacts/and/businesses) you want to call. SmartOffice then
navigates to that contact automatically. (If you do not want SmartOffice
Pro to navigate to the contact automatically, you can disable this
behavior in [User
Preferences - Activity Options](/help/pro/user/preferences/-/activity/options)).

When the call dialog box opens, select
the appropriate options. (You can configure SmartOffice Pro not to
bypass this dialog box. For more information, see [User
Preferences - Activity Options](/help/pro/user/preferences/-/activity/options).)
Outgoing
Call: Select this option if you are calling the contact.
(You can configure SmartOffice Pro to assume that all calls are
outgoing calls. For more information, see [User
Preferences - Activity Options](/help/pro/user/preferences/-/activity/options).)

Incoming
Call: Select this option if the contact is calling you.

Continue
without tracking the phone call: Select this option if
you do not want to associate the call with a calendar activity.
You will still be able to enter notes about the call, but you
will not be able to track activity outcome.

Create
a phone call activity before continuing: Select this option
if you want to associate the call with a calendar activity that
does not already exist. You will then see fields for entering
the new activity's sub-type, subject and description, as well
as a link to select a call script
and an associated opportunity
if necessary.

Select
an existing phone call activity before continuing: This
option appears only if one or more active Call activities linked
to the contact currently exist in SmartOffice Pro. Selecting this
option displays a list of these activities. Select the existing
activity you want to link to the call.

Click the OK
button. If you opted to create a new activity, enter the activity
details (for help, see [SmartCalendar
- Activity Detail](/help/pro/smartcalendar/-/activity/dialog/box)).

If this is an outgoing call, a list
of the contact's phone numbers opens. (You can configure SmartOffice
Pro to bypass this list. For more information, see [User
Preferences - Activity Options](/help/pro/user/preferences/-/activity/options).)
Select the number you want to call (the contact's preferred phone number
is selected by default). Next, if you want to dial your phone manually,
select the Manual Dial option. If you
want SmartOffice to dial the number for you and you need to check
your phone configuration settings, click the Config
button (refer to [Installation
and Configuration](/help/pro/smartdialer#Installation_and_Configuration) for more information).
After making all necessary selections, click the Dial
button. If you did not select the Manual
Dial option, SmartDialer displays a dialog box and begins dialing.

When the timer begins, enter any notes
in the timer's Notes field. These notes will be added to the contact's
SmartPad after
the call.

When the call ends, click the timer's
stop button.
If you associated the call with an activity that has the Track Activity
Outcome option selected, SmartOffice Pro starts the activity outcome workflow
(for more information, see [SmartCalendar
- Tracking Activity Outcomes](/help/pro/activity/outcome/wizard)).
If you did not associate the call with an activity, or if the associated
activity does not have the Track Activity Outcome option selected, SmartOffice
Pro opens the Time Log.
