Corporate Office Security Setup
Use Security within SmartOffice to control access to data and advanced system functions. Safeguard yourself and your data from unwanted manipulation!
Setting up security for the Corporate Office Hierarchy can be a complicated task. In order to take advantage of the powerful and flexible features of SmartOffice security, it is important to take time for careful planning and proper setup. This topic explains how an Admin user can setup SmartOffice security at the Corporate Office level. An Admin user is responsible for creating users in the Corporate Office, creating the office hierarchy, creating all offices in the office hierarchy, and setting up the licenses for each office.
- Create Users in Corporate Office)
- Log in to CorpOffice as the Admin user (no password). 2. From the side menu, click Setup and select User Accounts to open the Search Users dialog box. 3. Click the Search button to display the User List. 4. Select the New button to open the New User Addition dialog box. 5. Enter the user information and then click the OK button. 6. Click the new user's User Full Name hyperlink to display the Detail content link. 7. Proceed through the User Accounts content links to adjust the new user's rights and permissions.
- Create Offices)
- From the Login window, select the Create New Office hyperlink to open the Create New Office window. 2. Enter the Office Name, Estimated Number of Producers, Estimated Number of Total Users, and the country or region that your users are mainly located and then click the Submit button. 3. In the Create Administrator's Account window, enter the name that the administrator will use as a Login ID, or accept the default as admin. 4. Type the password in the Password and Verify Password fields. The length of the password can be up to twenty characters and can consist of alphanumeric characters. 5. Click the Submit button to open the New Office Created Successfully dialog box. 6. Click the login hyperlink to login to the new office and create new users. 7. Repeat this process until all offices are created.
- Setup Office Hierarchy Structure
- Add a New Root Office)
- From the side menu, click Office Setup and select Enterprise Office Hierarchy to open the Office Hierarchy window. Note: A root office is the highest office in the hierarchy. To add a root office you need to have at least two offices. One will be designated as the Parent and the other as a Child in the structure. The root office is the Parent office of the entire hierarchy.
- Click the Add New Root Office button. 3. In the New Office Hierarchy window, select CorpOffice from the Parent Office drop-down list. - Add a Child Office)
- From the side menu, click Office Setup and select Enterprise Office Hierarchy to open the Office Hierarchy window. Note: A root office is the highest office in the hierarchy. To add a root office, at least two offices are required. One will be designated as the Parent and the other as a Child in the structure. The root office is the Parent office of the entire hierarchy.
- Click on the Add New Root Office button. 3. In the New Office Hierarchy window, select a parent from the Parent Office drop-down list. 4. Select a child from the Child Office drop-down list and then click the OK button to save the additions. - Delete Office from Hierarchy)
- From the side menu, click Office Setup and select Enterprise Office Hierarchy to open the Office Hierarchy window.. 2. Select the office to be removed and then click the Delete button. Note: This option will remove an office and all offices under it from the office hierarchy. The offices will not be removed from the database.
- Click the Yes button to confirm the deletion.
- Set Licenses for Each Office)
- Log in to the Corporate Office as a Admin user. 2. From the side menu, click Office Setup and select Office Settings to open the Office Summary list. Note: Only the Corporate Office can set licenses for the other offices.
- Select an office and click the Licenses tab. 4. Select the Edit button to specify the number of licenses for each module and then click the Save button.
