Integrations - PaperClip vcf4Life


Overview


The PaperClip vcf4Life integration links SmartOffice to PaperClip's web-based vcf4Life document management system. Based on PaperClip Open4 data mapping, this integration enables users to:


  • Open folders in vcf4Life directly from SmartOffice contact, business and pending case records.
  • Create folders in vcf4Life using data from SmartOffice.

SmartOffice Setup


User Setup


A SmartOffice administrator with the ability to assign licenses must enable the appropriate license for each SmartOffice user who will use the integration.


  1. Sign in to SmartOffice Pro.
  2. Do one of the following:
  • If you are setting up the integration for the user account your are currently signed in to, click the profile menu in the upper-right corner, and then select Profile \& Settings Image from base_button_profile_settings.png.
  1. With the user account record open, click the User Rights content link.
  2. In the Licenses column, under Integration, select PaperClip Open4.
  3. (Optional) To enable the user to launch the integration from pending cases in SmartOffice, select the SmartCaseManager license.
  4. Select Menu \> Save.

Data Setup


The following data in SmartOffice is used to search for the corresponding folder in PaperClip vcf4Life. For the best search results, enter as much of this information as possible in SmartOffice before using the integration.

Using the Integration


  1. Search for a contact, business, or pending case in SmartOffice.
  2. Select the record in the list of search results, or open the record to view its details.
  3. Select Menu \> Integrations \> PaperClip Open4.
  4. If prompted, log into PaperClip vcf4Life.
  5. In PaperClip vcf4Life:
  • If matching folders are found, a list of those folders is displayed. Select the appropriate folder in the list.
  • If no matching folders are found, a ”No folders found” message is displayed.
  • If no folders are found, select Add New Folder to create one in PaperClip vcf4Life. During folder creation, information from the relevant SmartOffice record is copied automatically to the appropriate fields.
