Overview
Activity scheduling and tracking are core features of SmartOffice that play an important role not only in SmartCalendar but also in other SmartOffice modules. This section describes how activity-related features function in those modules.
Note: If an activity is linked to a policy, pending case, opportunity, lead or other record type, a user without a license for the corresponding module (SmartPolicies, SmartCaseManager, etc.) can still view and act upon the activity, even though the user has no access to the records themselves.
Integration Contacts/Businesses/Advisors/Agencies
To open the Activity Log for a contact, business, advisor or agency record, tag the record in a list (or open the record), and then click the Activity Log tab. A user can create, delete and modify activities from the Activity Log.
Integration with SmartPolicies/SmartCaseManager/SmartInvestments/SmartOpportunities
When the Activity Detail dialog for an activity is opened from the various calendar views, clicking the Link to hyperlink opens the Linking Options dialog box.
The Linking Options dialog box displays the policies, investment positions and investment accounts associated with the contact. In this dialog box, the user can link the activity with the relevant record. An activity can be linked to only one policy, position or investment account.
Integration with SmartPolicies/SmartCaseManager
Selecting the Activity/Mail content link for a policy or pending case enables the user to create activities for all of the contacts associated with the policy/case, such as the primary contact, primary insured, owner, payor, beneficiary, primary advisor, advisor's supervisor and carrier.
When an activity is created from the policy/case Activity/Mail content link, the policy number is automatically inserted into the activity's Keywords field once the activity is saved. In addition, a View Policy hyperlink displays in the Activity Detail dialog; clicking that hyperlink displays the policy or case.
To link an activity from the calendar to a policy, or to re-link the activity to a different policy of the associated contact, click the Link to hyperlink in the Activity Detail dialog and then select the appropriate policy in the Linking Options dialog box. This automatically inserts the policy number into the activity's Keywords field. A user can link an activity to a policy from the various calendar views only if the user has a SmartPolicies license.
Integration with SmartInvestments
Activities are integrated with investments through:
- Investment Accounts
- Investment Positions
From the Activity/Mail content link of an investment account or position, a user can create activities for a contact associated with that account or position.
When an activity is created from the Activity/Mail content link of an investment account or position, the account number is automatically inserted into the activity's Keywords field once the activity is saved. In addition, a View Investment Account or View Investment Position hyperlink displays in the Activity Detail dialog. Clicking the hyperlink opens the investment account or position.
To link an activity to an investment account or position, or to re-link the activity to a different account or position of the associated contact, click the Link to hyperlink in the Activity Detail dialog and select the appropriate account or position in the Linking Options dialog box. This automatically inserts the account number into the activity's Keywords field.
An activity can be linked to an account only if the user has a SmartInvestments license.
Integration with SmartOpportunities
From the Activities content link of an opportunity record, a user can create activities related to the opportunity. Activities created in this way display an Opportunity drop-down list in the Activity Detail dialog. This drop-down list enables the user to change the opportunity associated with the activity.
An activity can be linked to an opportunity from the various calendar views only if a user has an SmartOpportunities license.
Integration with SmartRecruiting
A user can create activities for a candidate/recruit in the SmartRecruiting module. From the Candidate/Recruit List, click the Activity Log tab to access the list of activities for the selected candidates. The user can also open a candidate record and click the Activity Log tab to view activities related to that particular candidate. Activities can be linked to candidates only if the user has a SmartRecruiting license.
Integration with SmartLeads
To assign an activity to a lead:
- Open the Leads list.
- Select Unaccepted from the Lead Status drop-down list.
- Tag a lead, and then click the Accept button.
If the lead is assigned to a campaign, the user is presented with options for sending a letter, creating an activity and so on. If the lead is not assigned to a campaign, the Select Action for Accepted Leads dialog box displays, enabling the user to associate an activity with the lead.
Activities can be linked to leads only if the user has a SmartLeads license.
