User Rights Settings

The User Rights settings let you specify the features that a user can access. Enterprise View

This is an advanced option that applies only to organizations that have multiple SmartOffice Anywhere offices arranged in an enterprise hier­archy. This option makes it possible for the user to view data stored in other SmartOffice Anywhere offices. Whether the user can actually view that data depends on the user’s Default Enterprise View Mode setting on the User Preferences - Basic Info content link in the advanced version of SmartOffice. If the Default Enterprise View Mode setting is Enterprise, the user can view data in other offices using SmartOffice Anywhere; if the setting is Inside Office, the user cannot view data in other offices using SmartOffice Anywhere.

Presale Activities This option enables the Presales menu option, which lets users view illus­trations, quotes and other presale documents.

Activity Outcome Tracking

When this option is enabled, the user can select Mark Done on a calendar activity to begin an advanced activity outcome workflow. The workflow allows the user to specify in detail the disposition of the activity, create follow-up activities, add notes and more.

SmartPad Select this option to give the user the ability to view and create SmartPad notes for contact records.

Advisors & Agencies This option gives the user access to advisor and agency records.

Letters/Documents With this option enabled, the user can open files in the Documents section of contact records.

Change Password

This option give the user the ability to change his or her own password using the Change Password option in the profile menu. If this is the disabled, only a user with administrator rights can change the user’s pass­word.

Opportunities Enabling this option shows the Opportunities option in the side menu and lets users track the stages of current sales opportunities.

Policies With this option enabled, users see the Policies option in the side menu and can work with insurance policies.

Investments With this option enabled, users see the Investments option in the side menu and can work with investment accounts and investment positions.

Agency-Producer Insurance Sync

This feature lets producers receive inforce and pending policy downloads from brokerage general agencies (BGAs) that also use SmartOffice Anywhere. This feature eliminates the need for the producer or his/her staff to manually update policy records; updates are downloaded automat­ically. For this feature to work, the agency must enable the policy down­loads for the advisor.
