Contact Field Reference


This is a list of the fields you will encounter when working with contact records. The fields are listed in alphabetical order for easy reference. Company


The business that employs the contact. Select an existing business contact record from SmartOffice Anywhere. DOB


The date of birth field does not appear for businesses and agencies. Drivers License #


This field does not appear for businesses and agencies. First Name


This field does not appear for businesses and agencies. Gender


This field does not appear for businesses and agencies. Greeting


A name, such as a nickname, that the contact is typically addressed by. By default, SmartOffice Anywhere inserts the contact’s first name in this field.


Last Name This field is mandatory. For businesses and agencies, this field is labeled “Business Name” or “Agency Name.”


License Expiration Date The expiration date of the contact’s driver license.


Marital Status This field does not appear for businesses and agencies.


Middle Name This field does not appear for businesses and agencies.


Primary Advisor This field specifies the advisor who primarily works with the contact. Select an existing advisor record from SmartOffice Anywhere.


Referred By


If the contact was referred by another contact, use this field to search for and select the referring contact. This information is used to identify the amount of referral business generated by contacts.


Remarks Use this field to enter any additional information that other users in the office would find useful when opening the contact record.


Review Date The date you have set to review the contact’s status. This information is read-only in SmartOffice Anywhere.


Source The method through which the contact was obtained (e.g., another agency, an advertisement).


SS# Social Security number. By default, the first five digits are masked as a privacy measure. The user can reveal those digits by selecting the Unmask button next to the number.


Sub-Source This field can be used in conjunction with the Source field to provide addi­tional detail about the source of the contact.


Sub-Type


This field can be used to further classify the contact after the Type has been specified. For example, the field could store a value like A, B or C to help the user classify contacts according to their importance.


Tax ID This field appears in business contact records. By default, the digits are masked as a privacy measure. The user can reveal those digits by selecting the Unmask button next to the number.


Type


This field describes the contact's classification, e.g., whether it is a client, prospect, etc. Several predefined choices are available. If Deceased is selected, the contact appears highlighted in red in search results.
