Importing Contacts


You can quickly bring contact data into SmartOffice Anywhere from other programs and data sources using the contact import feature. Prerequisite


note:  Contact import is designed to work on desktop or laptop computers.


Contact data must be saved in a comma-separated values (.csv) file. Most contact management programs can export data to this format. If a particular file is in Excel format (.xls or .xlsx), Excel's Save As function can be used to re-save the file in .csv format.


It is also recommended that the .csv file contain column headings.


  1. Open the Contact List.
  2. At the top of the list, select the Data Import button base_button_data_import.png.
  1. Find the appropriate import definition, and then select that definition’s import button base_button_data_import00001.png.
  • Import definitions contain settings for importing data from .csv files. At least one definition must exist before you can import contacts. These definitions are created in SmartOffice; they cannot be created in SmartOffice Anywhere.

  1. Select Browse, and then select the .csv file.
  2. Select Next.
  1. On the Select Mapping screen, confirm that the selected column head­ings match the data displayed. If they do not, select the drop-down lists to change the default selections.

  • Each column contains two drop-down lists. The first is the SmartOffice column category. Selecting an option from that drop-down list changes the column names available in the second drop-down list.

  1. Once all column headings are correct, select Run Import.
