Viewing Contacts Assigned to Other Users
By changing a setting in SmartOffice Anywhere, you can restrict your searches to records that are assigned to other users in the office. note: This feature is available on large-screen devices only.
This button is useful is situations like these:
- A manager coaching a junior rep can use it to see exactly how the rep's book of business looks in SmartOffice.
- An administrative assistant who works with multiple reps can use it to view one rep's book of business at a time.
This capability is available only if your office has office security turned on. When office security is turned on, your ability to view contacts is restricted as follows:
- You can view contacts to which you have been assigned.
- If you proxy for other users in the office, you can view contacts to which those users have been assigned. (Users for whom you proxy are listed in the Permissions section of Settings, under Whose Data This User Can See.)
- You can view contacts to which no user has been assigned.
(For detailed information about user assignments, proxies and other aspects of office security, refer to SmartOffice Pro Help_-_introduction.htm).) You can change a setting in SmartOffice Anywhere so that you can see only those contacts assigned to users or user groups for which you proxy.
- Select the See Data For button
next to the search box. - Select Data for specific users.
- A list of available users and user groups appears. By default, only active users and groups are listed; inactive users and groups are hidden. You can select Inactive users to display only those users, or select All users to display both active and inactive users.
- Select one or more users and/or user groups.
- To clear your selections and start over, select Clear all selected items.
- If you want SmartOffice Anywhere to remember your selections for next time, select Remember this setting.
- Select Save.
Result: Your view of contacts is now restricted based on your selections. To see all contacts normally visible to you again, select the See Data For button again, and then select All records.
