SmartOpportunities - Interaction with Other SmartOffice Modules
Overview
This section describes the various ways that SmartOpportunities integrates with other SmartOffice modules.
Contacts/Businesses
- While creating a contact or business, fill in the contact details and then click the Process hyperlink in the Add to Opportunity section to select the appropriate process.
- While creating a contact or business using the New (Comprehensive) function, click the Add Opportunity button to create an opportunity.
SmartCalendar
When viewing the Activity Detail dialog of an activity that is linked to an opportunity, click the Opportunity Action Items tab to:
- Display stage actions for current or previous stages of the opportunity.
- Perform stage actions (including processing activities and letters).
SmartCampaigns
- Linking opportunities with a marketing campaign effectively "stamps" those opportunities so that the user can track how and where the opportunities originated. This enables the user to compare the effectiveness of one campaign versus another using opportunity reports.
- To quickly assign multiple opportunities to a campaign, tag the opportunities in the Opportunity List and then select Menu \> Mass Campaign Assignment. When the Search Campaigns dialog box opens, search for and select the appropriate campaign.
- When using a campaign in conjunction with opportunities, the user should avoid specifying handling options on the campaign's Handling Options content link. This is because the sales process of an opportunity already handles actions such as sending letters and creating activities.
- Contacts can be quickly added to a marketing campaign using the Marketing Options feature, which also creates an opportunity record for each contact.
- The Opportunity List can be viewed from the following areas in the SmartCampaigns module:
- Marketing campaign record: While viewing a campaign, click the Opportunities tab to display all of the opportunities associated with that campaign. - Marketing Campaign List: Tag one or more campaigns in the Marketing Campaign List and then click the Opportunities tab to view the opportunities associated with all of the tagged campaigns.
- On a campaign's Handling Options content link, the Process field enables the following features:
- If a process is defined and a lead associated with the marketing campaign is accepted, the opportunity that is created is associated with the process of the campaign. - If a process is not defined and a lead associated with the marketing campaign is accepted, the opportunity that is created is associated with the default process defined in Opportunity Setup.
- If the process is defined and a set is associated with the marketing campaign, the opportunity that is created is associated with the process of the campaign. - If the process is not defined and a set is associated with the marketing campaign, the opportunity that is created is associated with the default process defined in Opportunity Setup.
- While creating a Dynamic Report to display contacts associated with a particular opportunity, the user can configure the Report Automation settings to automatically add those contacts to a marketing campaign each time the report is run. For more information, see Dynamic Reports - Report Setup.
SmartEvents
Contacts can be quickly invited to an event using the Marketing Options feature.
SmartPolicies
While creating a policy, the user can link the policy to an existing opportunity using the Link Opportunity drop-down list in the policy's Basic Policy Information section. When a new parent informal pending case is linked to an opportunity, any child cases that are later formalized are linked to the same opportunity, and the parent case is no longer linked to an opportunity.
SmartCaseManager
- From the Detail content link of an opportunity, the user can create an informal pending case by selecting Menu \> Workflow to Enter a New Case. SmartOffice automatically pre-fills fields on the new case using data from the opportunity.
- From any home page tab that contains a list of opportunities, the user can open an opportunity record and select Menu \> Go to Linked Pending Case/Policy to view the case record.
