Pending Cases - User Setup
Overview
In the SmartCaseManager module, users can be assigned full rights to add, modify and delete data, or they can be assigned more restrictive rights that enable only the viewing of pending case information.
In addition, depending on a user's role in the office, the policy types that the user can work with can be restricted. This section explains user setup for SmartCaseManager. Administrators who are not familiar with user setup in SmartOffice should refer to the User Accounts topic.
Note: In addition to user setup, the SmartOffice administrator should also refer to Policy/Case Setup for information about configuring underwriting requirements, workflows and other SmartCaseManager settings.
Checking for Available Licenses
To use SmartCaseManager, a user must have a Brokerage Management tier license or higher (see Office Settings - Tier Licenses). If no such tier license is available in the office, contact SmartOffice Sales at (800\) 777-9188\.
License and Module Setup
- Open the user's User Accounts - User Rights content link.
- Enable the following licenses:
- SmartCaseManager: Assign this license to users who need full pending case functionality, including the ability to search, view, create, modify and delete pending cases.
- SmartCase Viewer: Assign this license to users who require only limited pending cases functionality, primarily searching and viewing pending cases (users with this license can also reassign the case manager; see Additional Pending Case Management Features).
- Policy Tracking: This license is necessary for processing inforce policies and is automatically enabled when the SmartCaseManager or SmartCase Viewer license is enabled. - Pending Case \& Policy Setup Administrator: Necessary only if the user will be setting up pending case workflows and other administrative options that apply to the whole office.
- Open the user's User Preferences - Policies/Investments content link and select the policy types the user will be working with in SmartCaseManager.
Note: Selecting the appropriate policy types is important. If this step is not performed, the user will be unable to perform essential tasks in SmartCaseManager, such as case and policy searches.
Setting Permissions
Permissions are used to fine-tune a user's ability to create, modify and delete information and run reports in SmartCaseManager. Users can be restricted to read-only access, meaning they can view pending case information but cannot make any changes.
To set permissions for SmartCaseManager:
- Go to the user's User Accounts - Permissions content link.
- Select the appropriate options in the Add, Modify, Delete, and Report columns to specify the permissions for the user. In some cases, selecting or clearing an option will automatically select or clear other related options.
