Pending Case Download - Introduction


Pending Case Download is a free service that automatically downloads new and updated pending cases into SmartOffice directly from insurance carriers. SmartOffice uses the downloaded data to update the agency's existing pending case records or to create new records. In this way, Pending Case Download eliminates much of the time that agency staff would otherwise spend manually updating case status, notes, requirements and other data.


The basic workflow for Pending Case Download is as follows:


  1. Carriers generate a data file containing new and updated pending cases for all SmartOffice agency customers, typically in ACORD (U.S.) or CITS (Canada) format.
  2. SmartOffice's DataXchange Online (DXO) service receives the data file from the carrier.
  3. DataXchange Online validates the data file, segments it by agency, and delivers each segment to the appropriate agency's DXO mailbox.
  4. SmartOffice downloads the data from the agency's mailbox and uses it to create home-office (HO) pending cases in SmartOffice or to update existing HO pending case records from previous downloads.
  5. SmartOffice automatically matches new HO pending cases to existing agency pending cases and creates new agency pending case records if no match is found.
  6. For each match, SmartOffice automatically updates case details and requirements using the HO pending case data, or it automatically updates the agency case status and details but leaves the requirements for agency staff to process manually (the agency determines which approach it prefers for each carrier).
